About the Role
We are seeking an experienced Maintenance Coordinator based in Latin America to support maintenance operations for U.S. based residential properties. This role will coordinate maintenance requests from intake through completion, communicate with residents and vendors, and ensure work orders are properly documented and followed up.
The adecuado candidate has hands on experience with AppFolio or Buildium and Property Meld , along with experience supporting Section 8 properties, property preservation, maintenance diagnostics, and troubleshooting.
Key Responsibilities
Maintenance Coordination
Receive, review, and process maintenance requests from residents.
Create, assign, and update work orders in AppFolio or Buildium.
Coordinate maintenance requests through Property Meld.
Prioritize emergency, urgent, and routine maintenance requests.
Schedule vendors and coordinate access to properties.
Follow up with residents and vendors until work orders are fully resolved.
Monitor open work orders and ensure timely completion.
Maintenance Diagnostics and Troubleshooting
Perform initial diagnostics to identify the likely cause of maintenance issues.
Troubleshoot common residential maintenance problems before dispatching a vendor.
Ask appropriate questions and gather photos or videos to properly assess maintenance requests.
Determine whether an issue can be resolved through basic troubleshooting or requires vendor dispatch.
Identify the appropriate vendor or trade based on the maintenance issue.
Escalate complex or urgent issues to the property manager when needed.
Section 8 Coordination
Coordinate maintenance requests and repairs for Section 8 properties.
Ensure required repairs and inspections are properly scheduled and completed.
Track Section 8 related maintenance requirements and deadlines.
Maintain accurate documentation of repairs, inspections, and completed work.
Coordinate with residents, vendors, inspectors, and property managers as needed.
Property Preservation
Coordinate property preservation services for vacant or distressed properties.
Arrange securing, cleaning, debris removal, lawn care, winterization, and other preservation services as needed.
Coordinate vendors and track preservation work through completion.
Review photos, estimates, invoices, and completion documentation for accuracy.
Identify and escalate property condition issues or required repairs.
Maintain accurate records of preservation activities and completed services.
Vendor and Resident Communication
Coordinate schedules with vendors, contractors, and maintenance technicians.
Communicate appointment times, updates, delays, and resolutions to residents.
Request estimates, photos, invoices, and completion documentation from vendors.
Follow up with vendors regarding delayed or incomplete work.
Maintain professional and responsive communication with residents and vendors.
Work Order and System Management
Maintain accurate maintenance records and work order statuses.
Document calls, emails, messages, diagnostics, and follow ups in the appropriate systems.
Monitor outstanding work orders and proactively identify stalled requests.
Ensure vendor notes, invoices, photos, and completion details are properly recorded.
Coordinate with property managers when approvals, escalations, or additional action are required.
Qualifications and Requirements
Minimum 2 years of U.S. property management maintenance coordination experience.
Hands on experience with AppFolio or Buildium is required.
Experience using Property Meld is strongly preferred.
Experience supporting Section 8 properties is preferred.
Experience with property preservation is preferred.
Strong understanding of residential maintenance, diagnostics, and troubleshooting.
Ability to identify common maintenance issues and determine appropriate next steps.
Excellent written and verbal English communication skills.
Strong organization, follow through, and problem solving abilities.
Ability to manage multiple work orders, residents, and vendors simultaneously.
Ability to work independently in a remote environment.
Additional Requirements
Must be currently residing in Latin America.
Must have a stable internet connection and remote ready workstation.
