Job Overview:

We are seeking a highly organized, Bilingual Executive Assistant to serve as the operational backbone for two growing small businesses—a hotel and a retail store—alongside personal affairs. Acting as a proactive right hand, you will seamlessly balance guest relations, compliance filings, inventory tracking, and scheduling with high autonomy and razor-sharp attention to detail.

Schedule: Remote, Full Time | Monday through Friday: 9:00 AM to 6:00 PM, PST.

Responsibilities:

- Provide comprehensive administrative support across two small businesses and personal affairs, ensuring nothing falls through the cracks
- Manage and prioritize a dynamic task list across hotel operations, retail store administration, and personal scheduling
- Handle recurring compliance and regulatory filings, including monthly transient tax submissions and vacant property documentation
- Coordinate inventory reconciliation by comparing physical counts against point-of-sale system data and organizing findings into structured reports
- Answer and manage incoming phone calls for the hotel, serving as the first point of contact for guest inquiries
- Research and ensure compliance with local regulations, including California rental laws and municipal requirements
- Coordinate administrative, compliance, and document management tasks (DocuSign, Excel, QuickBooks, POS) across California, Barcelona, and New York by adaptively aligning working hours to the owner's active time zone.




- Function as a self-directed project manager who anticipates needs, drives end-to-end follow-through, and takes full ownership of tasks rather than waiting for instruction.

Requirements:

- Fluent Spanish speaker (native or near-native level) with strong English proficiency
- 2–5 years of administrative or executive assistant experience supporting a business owner or senior executive
- Self-directed and proactive, able to manage projects end-to-end without constant oversight
- Strong written and verbal communication skills with a habit of providing regular progress updates
- High level of attention to detail and ability to work independently across multiple time zones
- Comfortable learning new software and recommending better tools or workflows when appropriate
