Job Overview:
Our client is seeking aBilingual Dental Billing & Receptionist fluent in Spanish and Englishto manage both front desk appointment coordination and financial collections. In this role, you will be at the center of patient relations, making outbound calls to confirm appointments, collecting outstanding payments, and ensuring patients stay on track with their treatment plans. You will work directly with insurance portals to track claim statuses and resolve billing issues, all while maintaining detailed documentation in the practice management system.
Schedule:Monday to Friday, 9:00 AM to 6:00 PM EST, with a 1-hour unpaid break; Full-time, 40 work hours per week
Responsibilities:
- Conduct outbound calls to patients for appointment reminders and balance notifications, ensuring timely communication ahead of scheduled visits.
- Follow up on outstanding patient balances and coordinate payment arrangements to maintain healthy accounts receivable.
- Monitor and track insurance claim statuses through online portals such as Dental Exchange and Delta Dental, identifying and resolving processing delays.
- Document all patient interactions, call outcomes, and claim updates thoroughly within the practice management system (Edge software by Ortho II).
- Communicate with insurance companies directly via phone when portal information is unavailable or requires escalation.
- Provide weekly progress reports to management on collections activity and claim resolution outcomes.
- Verify insurance coverage and attach insurance policies to patient files.
- Schedule appointments and process incoming fax referrals from other doctors.
- Obtain specialty referrals from doctor's offices and follow up on medical releases for patients to start treatment.
- Handle inbound and outbound patient calls while managing sensitive patient data in full compliance with HIPAA.
- Provide end-of-day shift updates summarizing completed tasks and outstanding items.
Requirements:
- Prior experience working in a dental or orthodontic office environment, preferably US-based practices.
- Bilingual fluency in both Spanish and English with strong verbal and written communication skills.
- HIPAA certification and thorough understanding of patient privacy and confidentiality regulations.
- Experience navigating insurance portals and following up on claim statuses.
- High level of attention to detail, particularly when handling sensitive patient financial information.
- Ability to work independently and manage daily tasks with minimal supervision.
