Summary:
The HOA Property Manager handles the day-to-day operations of 300+ scattered, multi-site homeowner associations. These communities are spread across different locations and are not in one single site.
This role supports HOA governance, vendors, budgets, and owner experience. You will be the main connection between the Board of Directors, owners, residents, vendors, and internal teams (Maintenance HOA and Finance HOA).
You must be very organized, good at writing and talking, and able to manage many communities at the same time while following laws, governing documents, and company rules.

- Board packets and meeting materials are always accurate and on time
- HOA budgets, assessments, and reserves are followed across scattered communities
- Maintenance is planned early and completed on time
- Owners and residents feel informed and supported
- Audits, insurance renewals, and compliance are clean and complete
- All HOA tasks and cycles are tracked and finished on time in Asana
Key Responsibilities1) Board & Governance Management
- Serve as the main contact for Board members across multiple scattered HOA sites.
- Prepare Board agendas, packets, reports, and meeting minutes.
- Apply governing documents (CC&Rs;, bylaws, rules) and state laws correctly.
- Coordinate with legal counsel when needed.
- Run annual meetings, elections, and official notices on time.
2) Owner & Resident Relations
- Communicate clearly and professionally with Boards, owners, and residents.
- Send community notices about:
- Maintenance
- Policy updates
- Events
- Compliance reminders
- Handle escalations, complaints, violations, ARC requests, and hearings within set timelines.
3) Financial Coordination & Reporting
- Help build HOA budgets and support reserve planning with Finance HOA.
- Review monthly financials and explain budget variances.
- Track assessments, collections, payment plans, and delinquencies.
- Review invoices, code expenses, and confirm vendor work before payment.
**4) Maintenance, Projects & Vendor Management
(with Maintenance HOA)**
- Turn Board goals into yearly maintenance plans for scattered communities.
- Open, track, and close work orders while meeting SLAs and quality standards.
- Manage vendors such as:
- Landscaping
- Janitorial
- Security
- Pools
- Roofing
- Elevators
- Run bids, contracts, and vendor reviews.
- Help manage capital projects from RFP to close-out.
5) Information Management & Systems
- Keep all HOA projects updated daily in Asana.
- Manage resale packages and lender questionnaires on time.
- Maintain clean digital records:
- Governing documents
- Minutes
- Contracts
- Insurance
- Warranties
- Architectural files
6) Team Leadership & Development
- Help train and onboard Assistant PMs and PMs.
- Teach systems, compliance rules, and service standards.
- Promote teamwork and raise staffing needs to leadership when needed.
Key Performance Indicators (KPIs)
- On-time HOA task and compliance completion
- Maintenance response and close-out time
- Delinquency rate and collection success
- Budget accuracy and invoice cycle time
- Owner and resident satisfaction
- Board satisfaction and action-item completion
Qualifications
- 3+ years of HOA or condo association management experience.
- Experience managing multiple scattered or multi-site communities.
- Strong skills in Asana, owner portals, and Google Sheets/Excel.
- Excellent writing, speaking, and meeting skills.
- Very organized and detail-focused.
- Good understanding of HOA documents, elections, collections, and common HOA laws.
