Overview

Key Responsibilities

Project Management
- Manage multiple active projects across departments or clients
- Track timelines, milestones, deliverables, and dependencies
- Run meeting agendas, capture notes, and assign action items
- Follow up with team members to ensure tasks are completed on time
- Maintain project dashboards, task boards, and documentation
- Identify risks, bottlenecks, or delays and proactively flag them

Personal & Executive Support
- Manage calendars, scheduling, and meeting coordination
- Assist with inbox organization, follow-ups, and reminders
- Prepare summaries, notes, and briefing documents for meetings
- Help prioritize daily and weekly workloads
- Coordinate logistics for meetings, calls, or travel when needed

Communication & Coordination
- Act as a central point of coordination between leadership and team members
- Communicate timelines, expectations, and updates clearly
- Support client or partner communications when required
- Ensure internal alignment and clarity across projects

Systems & Organization




- Maintain task management tools (Notion, Asana, Trello, ClickUp, etc.)
- Help improve workflows, SOPs, and internal systems
- Keep documentation organized and up to date
- Assist in creating repeatable processes for efficiency
- Qualifications:
- 2+ years experience in project management, executive assistance, or operations
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable managing multiple priorities simultaneously
- High attention to detail and follow-through
- Ability to work independently and proactively
- Experience with Google Workspace and project management tools Bonus (Not Required):
- Experience in agency, startup, or creative environments
- Familiarity with CRM tools, client management, or operations workflows
- Background supporting founders or executives
- Experience with remote teams
