The Hiring Event Coordinator manages the day-to-day operational logistics for local hiring events. This role ensures a professional candidate experience, seamless check-in processes, and real-time coordination between recruiters, hiring managers, and venue vendors.
Key AccountabilitiesWhat you’ll do:
Set up check-in stations, directional signage, candidate waiting areas, and private interview spaces prior to event start.




Manage candidate registration and flow, ensuring job seekers move smoothly from check-in to interviews without bottlenecks.
Serve as the primary on-site contact for venue staff, equipment vendors, catering, and security teams.
Provide administrative support to recruiters by tracking schedules, verifying candidate documents, and logging check-in data into the ATS.
Troubleshoot real-time logistical issues, equipment needs, or space adjustments during the event.
Oversee event breakdown and return of event materials and confidential documents.
Skills & RequirementsExperience in event coordination, administrative support, or HR/recruitment operations.
Excellent organizational, multi-tasking, and time-management skills.
Strong interpersonal skills with a candidate-first mindset.
Proficiency with ATS platforms, tablet check-in software, and Microsoft Office / Google Workspace.
