Facilities Coordinator

We’re looking for a Facilities Coordinator to join our Workplace Operations – Facilities & Events team in our new Mexico City office. Reporting to the Director, Workplace Operations and Events, you’ll help keep the office welcoming, organized, safe and ready for employees and visitors. This is a hands-on role where you’ll be a friendly first point of contact for the Mexico City office.

You’ll work with Workplace Operations, Corporate Real Estate, IT, Security, People & Places, local leaders, building partners and vendors to help the office run smoothly each day. You don’t need to know everything on day one. We’re looking for someone organized, service-minded and eager to learn.

Be a Contributor — What You’ll Do

- Welcome employees, visitors, candidates, vendors and building partners, and help create a positive office experience
- Respond to workplace questions and service requests, helping people find the right information or support




- Help manage daily office operations with our building operator, Spaces/IWG. This may include access, building services, cleaning, maintenance requests and other building issues
- Support office access and visitor processes, including badge activation and deactivation, visitor badges and basic audits
- Coordinate with local vendors for catering, pantry and coffee supplies, office supplies, shipping, courier services and other workplace needs
- Help prepare for employee onboarding and offboarding by coordinating workspace readiness, welcome tours, workplace orientation and equipment returns with HR, IT and hiring managers
- Manage mail, deliveries, shipping and receiving using clear and organized processes
- Complete regular office walkthroughs to identify safety, comfort, supply or maintenance issues. Record requests in ServiceNow, building portals or vendor systems and follow up until they are resolved
- Use tools such as Copilot and BloxMate to organize information, draft routine communications, summarize feedback and improve checklists and playbooks
- Support onsite events such as all-hands meetings, leadership visits, customer meetings and community activities. Help with room setup, catering, vendors and day-of logistics
- Work with global partners to learn and apply Infoblox workplace standards, safety practices and operating procedures

Be Prepared — What You Bring

- 2-4 years of experience in office coordination, facilities, workplace operations, hospitality, administration, customer service or a related role. Equivalent practical experience is welcome
- Experience supporting day-to-day office or site operations, or a strong interest in learning them
- A helpful, customer-focused approach and the confidence to support employees, visitors, leaders and vendors
- Strong organization and follow-through. You can keep track of several requests and know when to ask for help or escalate an issue
- Comfort working with building management and external vendors, or a willingness to learn how those relationships work
- Basic experience with Microsoft 365, Outlook and Teams. Experience with ServiceNow,



visitor management, desk booking or similar tools is helpful but not required.
- Curiosity about AI tools and an interest in using them to save time, improve consistency and organize information
- The ability to follow checklists and standard processes while also suggesting practical improvements
- Fluency in Spanish and English, with clear written and verbal communication skills
- A bachelor’s degree in Business, Hospitality, Facilities Management or a related field is preferred but not required

Be Successful — Your Path

First 90 Days: Immerse in our culture, connect with mentors (Blox Buddies), and map the systems and meet with key stakeholders that rely on your work. Discuss and create short/long term goals.

Six Months:

- Establish dependable routines for access, vendors, mail and shipping, pantry and supplies, workplace requests and issue escalation
- Help adapt general workplace procedures, safety guidance and checklists for the Mexico City office
- Use ServiceNow or a similar tool consistently to track requests and follow-up
- Begin monitoring useful measures such as request volume, response times and recurring issues
- Create or improve at least one simple playbook, such as new-hire onboarding, event support or vendor coordination

One Year:

- Become a trusted and approachable point of contact for employees, leaders and visitors at the Mexico City office
- Keep workplace, service and utilization information accurate and up to date
- Support a larger workplace project, such as an office update, reconfiguration or tool rollout
- Help identify practical ways to improve service consistency, request resolution and the employee experience
- Share ideas and insights with Workplace Operations and Real Estate as the Mexico City office continues to grow
