We are seeking a highly professional, proactive, and discreet Personal Assistant to provide executive-level administrative and organizational support to senior leadership within a fast-paced international environment.
This role requires exceptional organizational skills, strong business acumen, digital fluency, and the ability to manage highly confidential information while collaborating effectively with diverse stakeholders.
What Awaits You
- Provide comprehensive executive support to senior leadership, including complex calendar management, correspondence, scheduling, and prioritization of strategic activities.
- Manage departmental budget administration, tracking, reporting, and consolidation of management information for different organizational levels.
- Coordinate and prepare executive meetings, workshops, leadership reviews, and management sessions, including agendas, presentations, minutes, action tracking, and follow-up on commitments.
- Organize domestic and international business travel arrangements, expense reporting, reconciliations, and travel logistics.
- Support cross-functional projects, committees, and strategic initiatives, ensuring timely execution of deliverables and milestones.
- Develop, maintain, and monitor KPI dashboards, reports, and management presentations to support decision-making and business alignment.
- Provide administrative coordination for compliance, safety, training, environmental, and governance-related activities.
- Coordinate social responsibility initiatives, employee engagement activities, and other strategic programs.
- Leverage digital productivity tools, including Microsoft Copilot and AI-powered solutions, to streamline administrative processes,
prepare reports and presentations, summarize information, and improve overall efficiency.
- Act as a trusted liaison between senior leadership, internal teams, and external stakeholders while maintaining the highest standards of professionalism and confidentiality.
What Should You Bring Along?
- Bachelor’s Degree in Business Administration, Management, Executive Assistance, Communications, or a related field.
- Advanced to fluent English proficiency (written and spoken).
- Minimum of 6 years of experience supporting senior executives, directors, or leadership teams in an executive assistant or administrative capacity.
- Proven experience managing budgets, executive communications, management reports, and business administration activities.
- Strong experience coordinating executive meetings, travel arrangements, and expense management processes.
- Advanced proficiency in Microsoft Office applications, especially Excel, PowerPoint, Outlook, and Teams.
- Experience using Microsoft Copilot, AI-driven productivity tools, or digital assistants to enhance efficiency, reporting, content creation, and information management.
- Experience with ERP and expense management systems such as SAP SRM, SAP Concur, or similar platforms.
- Excellent organizational, communication, stakeholder management, and time-management skills.
- Demonstrated ability to handle highly sensitive and confidential information with discretion and integrity.
- Strong interpersonal skills and ability to work effectively within multicultural and cross-functional teams.
- Proactive, solution-oriented mindset with the ability to anticipate needs, prioritize competing demands, and work independently.
