We are seeking a highly organized, proactive, and high-trust Executive Assistant to support a fast-paced Principal in a real estate investment company focused on land acquisitions, select commercial projects, and owner-financed transactions.
This is not a traditional administrative role. You will act as a true force multiplier—protecting the Principal’s time, driving execution, and ensuring that deals and priorities move forward without friction. This role is idóneo for someone who thrives in high-performance environments, loves structure, and takes ownership without needing constant direction.
What Success Looks Like
- The Principal’s calendar is protected and optimized around high-value work
- Deals progress efficiently from pipeline to closing
- All tasks, deadlines, and follow-ups are tracked and executed
- Information and documents are clean, organized, and instantly accessible
- Meetings are productive, with clear action items and accountability
Key Responsibilities Executive Support & Communication
- Own complex calendar management, scheduling, and confirmations
- Manage high-volume inbox and communications (email, text, calls)
- Draft and proofread emails, memos, and internal communications
- Prepare meeting briefs, agendas, and track follow-up actions
Deal & Transaction Coordination
- Maintain and manage real estate deal pipeline (land, commercial, owner-finance)
- Coordinate due diligence, documentation, and closing processes
- Liaise with brokers, title/escrow, attorneys, lenders, and vendors
- Organize deal files and data rooms with strong version control
- Track key contract dates and deliverables from LOI to closing
Operations & Organization
- Build and maintain structured digital filing systems
- Track deadlines, deliverables, and priorities across projects
- Create SOPs, templates, and checklists to improve efficiency
- Assist with invoice coordination and vendor documentation
EOS & Business Rhythm Support
- Support Level 10 meetings, notes, and action tracking
- Help manage priorities, Rocks, and weekly reporting
- Ensure accountability and follow-through on key initiatives
Travel & Logistics Coordination
- Coordinate multi-state travel, accommodations, and logistics
- Be available to travel on request with minimal notice
- Ensure environments (homes, hotels, offices) are fully prepared
- Manage complex scheduling scenarios with zero margin for error
Required Qualifications
- Valid U.S. travel visa and availability to travel on request with minimal notice
- 3+ years supporting a senior executive (EA, Operations Assistant, or Chief of Staff-type support)
- Strong organization and follow-through; ability to manage multiple deadlines
- Excellent written communication and professional judgment
- High discretion in handling sensitive financial and legal information
- Proficiency with spreadsheets, calendars, and document tools (Google Workspace or Microsoft 365, PDF editing)
- You must live near the US border
Preferred Qualifications
- Experience with real estate transactions (land, commercial, title/escrow, due diligence, closings)
- Experience supporting a fast-moving founder or owner
- Familiarity with seller financing or loan servicing coordination
- Experience with tools such as Airtable, Asana, Monday.com, Notion, or CRM systems
Salary & Schedule
- FT: Monday to Friday, 8 am - 6 pm PST
- Pay rate: The rate starts at $20 USD per hour
