Remote Estate Planning Intake Specialist
Law Mother
Schedule: Monday–Friday | 8:00 AM–5:00 PM Mountain Time
Compensation: $8-9/hour + Performance Bonuses

Law Mother is a Colorado-based estate planning and asset protection law firm serving families, business owners, and real estate investors.
We help clients plan for the unexpected by making complex legal decisions simple, clear, and approachable. Our goal is to move clients from uncertainty to peace of mind through thoughtful guidance and streamlined processes.
We are looking for an experienced Legal Intake Specialist with prior estate planning experience to serve as the first point of contact for prospective clients.
Previous professional experience with an estate planning law firm is required for this position.
About the Role
As our Remote Estate Planning Intake Specialist, you will be responsible for speaking with prospective new clients (PNCs), understanding why they are seeking help, gathering critical information, qualifying potential clients, and guiding appropriate prospects through the next steps in the firm's intake process.
Because our clients are seeking assistance with important estate planning and asset protection matters, we need someone who already understands the terminology, client concerns, and general intake process associated with an estate planning practice.
You should be comfortable having conversations involving wills, trusts, estate planning, asset protection, powers of attorney, and related planning needs.
This is not a receptionist role.
This is a client-facing, conversation-driven position that directly impacts client experience, attorney efficiency, and firm growth. You will not provide legal advice, but you should have enough estate planning experience to confidently communicate with prospective clients, recognize their needs, and guide them through the firm's established intake process.
Core Responsibilities
Answer inbound calls promptly, warmly, and professionally
Respond to missed calls, website inquiries, and prospective client requests
Build rapport and trust with prospective clients
Ask thoughtful questions to understand each prospective client's situation and goals
Gather and verify critical client and matter information
Identify and properly categorize estate planning and asset protection inquiries
Qualify prospective new clients according to the firm's established criteria
Clearly explain the firm's intake and consultation process without providing legal advice
Schedule qualified prospective clients for consultations and appropriate next steps
Conduct timely follow-up with prospective clients
Manage consultation confirmations, cancellations, rescheduling, and no-shows
Maintain complete, accurate, and organized CRM records
Document conversations and relevant client information clearly
Follow established intake scripts, workflows, systems, and training
Communicate important information to attorneys and other team members
Maintain professionalism and confidentiality when handling sensitive client information
Required Qualifications
Previous experience working for an estate planning law firm is required
At least 2 year of professional intake, client service, legal support, or phone-based experience
Familiarity with common estate planning matters and terminology
Experience speaking with prospective or existing estate planning clients
Strong spoken and written English
Excellent verbal communication and phone skills
Strong active listening and emotional awareness
Ability to build trust and rapport quickly
Ability to guide and control conversations naturally without sounding scripted
High attention to detail and accuracy
Ability to remain calm, empathetic, and professional with emotional or stressed callers
Strong follow-up and organizational skills
Comfortable working within structured processes and established intake procedures
Reliable and responsive in a remote work environment
Candidates without prior estate planning experience will not be considered for this position.
Preferred Experience
Experience with several of the following is highly desirable:
Estate planning intake
Wills and trusts
Revocable living trusts
Powers of attorney
Asset protection
Probate or estate administration
Client consultation scheduling
Legal CRM or case management systems
Lead qualification and follow-up
Client conversion or legal sales
Sales or conversion experience is a plus, particularly within a law firm environment, but this role is focused on helping prospective clients feel heard, understood, and confidently guided through the intake process — not high-pressure selling.
Technical Requirements
Comfortable working with CRM and case management systems
Ability to type, take detailed notes, and update records while speaking with clients
Comfortable learning and using new software and communication platforms
Reliable high-speed internet connection
Quiet, professional remote work environment
Ability to consistently work 8:00 AM–5:00 PM Mountain Time, Monday through Friday
