Operations Coordinator Remote
Native English fluent Spanish required

About the role
Our company manages roughly 300 rental units across multiple LLC entities in the Columbia, SC area, runs an inhouse renovation crew, and is actively taking on thirdparty remodeling work. The Operations Coordinator is the daytoday hub the single point of contact between tenants, property managers, inhouse technicians, subcontractors, material vendors, and ownership. This role is highvolume, highcontext, and hightrust. You will manage 15 active tenant maintenance threads, daily paint and materials procurement, parallel vendor sourcing pipelines, subcontractor admin, and inhouse crew dispatch, all simultaneously. You report directly to the owner and act as the buffer that lets ownership stay on capital and strategy while the operation runs.
Working hours
530 or 600 AM US Eastern to 300 PM US Eastern, Monday through Friday. These hours are nonnegotiable because they cover the morning dispatch window when tenants report overnight issues and the inhouse crew gets routed for the day.
Location Remote, with a strong preference for Latin America. Mexico, Colombia, Costa Rica, Panama, Argentina, and Chile are all good fits because they sit in or near US time zones.
Language requirements
Native English speaker. First language English, professional written and spoken fluency. You will spend most of your day on the phone with US tenants and US vendors.
Fluent professional Spanish. Many of our subcontractors are Spanish speakers. You will be coordinating addresses, materials lists, payment, and scheduling with them in Spanish. Conversational Spanish is not enough. You need to handle a worksite question or a payroll dispute in Spanish without losing nuance.

Core responsibilities
Tenant Maintenance Dispatch Serve as the primary point of contact for property managers and tenants. Perform templated intake confirming issues, requesting media, triage urgency emergency vs. routine, and schedule 4hour service windows. Coordinate access via lockboxes and manage postvisit followups.
Materials Procurement Execute daily orders for paint and construction materials Lowes Pro, etc.. Track receipts for accounting and prepare detailed SKUbased material lists for subcontractors.
Vendor Quote Management Source 46 vendors for specialized repairs HVAC, electrical, etc.. Send scopes of work, follow up daily for quotes, coordinate site walks, and provide vendor recommendations to the owner.
Subcontractor Management Bilingual English Spanish Daily dispatching and coordination of external crews. Handle onboarding W9s, ACH, WhatsApp groups, verify time tracking, and manage termination conversations when necessary.
InHouse Crew Coordination Provide daily routing and live updates for the internal maintenance lead. Manage emergency rescheduling and onboard new hires into the dispatch system.
PM Liaison Coordinate key pickups from offices and handle backandforth communication regarding tenant escalations.
Requirements must have
Native English first language, professional fluency in writing and speech.
Fluent professional Spanish.
Available 530 or 600 AM ET to 300 PM ET, Monday through Friday.
2 to 3 years in property management operations, dispatch, construction admin, or a similar highvolume coordination role.
Comfortable juggling 15 open threads at once across SMS, calls, email,
and WhatsApp without losing items.
Strong with templates and repeatable process. You will use the same intake script, scheduling reminder, and satisfaction followup many times a day.
High level of trust you will see banking details, vendor invoices, and payment information regularly.
Reliable home office setup stable internet, quiet environment for calls, headset, computer.
Strongly preferred
Experience with AppFolio or a comparable PMS.
Familiarity with US construction terminology sheetrock, Ptrap, breaker panel, eggshell paint, etc..
Prior experience managing USbased subcontractors remotely.
Working style
Most of your day is reactive. Tenants text in the early morning with overnight issues, vendors call back about quotes, subs need addresses and lockbox codes to start the day. You will need to absorb that, prioritize, and get the right person to the right place by 9 AM ET.
The other half is proactive chasing quotes, ordering materials a day ahead of the job, calling tenants to schedule visits, sending satisfaction followups, building the next weeks vendor pipeline.
You will be the buffer. Ownership is focused on capital, deals, and investor reporting. You handle everything below that.
Compensation
USD 7.00 per hour. Fulltime, longterm. Paid weekly.
