About the Role The Executive and Personal Assistant provides high-level administrative and personal support to the CEO and firm leadership. This position ensures efficient management of executive operations, firm communications, and personal scheduling needs. The role requires exceptional organizational ability, attention to detail, professionalism, and absolute confidentiality in handling sensitive legal and personal matters.
Responsibilities
- Manage the CEO’s professional calendar, including client meetings, case briefings, and internal leadership sessions.
- Coordinate and prepare meeting materials, case summaries, and follow-up correspondence.
- Screen calls, emails, and inquiries, prioritizing those requiring immediate attention.
- Prepare, proofread, and format correspondence, legal documents, and internal memoranda.
- Maintain organized digital and physical filing systems in compliance with firm confidentiality policies.
- Manage travel arrangements, conference registrations, and client event logistics.
- Liaise with firm management, attorneys, and department heads to coordinate administrative and operational activities.
- Assist with internal communications, announcements,
and scheduling for firm-wide initiatives.
- Track key project deadlines, case milestones, and follow-up items for the Managing Partner.
- Manage personal scheduling, travel, and appointments for the Managing Partner.
- Coordinate household vendors, errands, and occasional event planning.
- Handle personal and confidential matters with discretion and judgment.
Qualifications
- Bachelor’s degree preferred; equivalent administrative experience accepted.
- Minimum 7 years of experience supporting senior executives and chief executive officers, ideally in a law firm or professional services environment.
- Strong command of Microsoft Office Suite, Adobe Acrobat, and document management systems.
- Excellent writing, editing, and proofreading skills.
- Proven ability to maintain confidentiality and manage sensitive information with integrity.
