BrightBeam is building the infrastructure for the AI-native workforce, combining AI-enabled human operators, AI agents, and modern workforce-management systems. We give businesses highly capable Virtual Assistants and operators backed by real management, technology, and AI-enabled workflows. We are hiring a senior, hands-on Operations Manager to own the people, systems, and operating rhythms that keep BrightBeam running as we scale.
This is not a passive oversight role. You will have real autonomy to make operational decisions, establish accountability, improve processes, resolve issues, and reduce executive involvement in routine operations. You will be supported by an Operations Associate and Community Manager plus recruiting support. Your job is not to personally perform every operational task. It is to make sure the operation works and that ownership is always clear.
Your mission: keep the company running, put the right people in the right roles, turn priorities into execution, and find problems before they become emergencies.
Details
- Remote, Full-Time (40 hours per week)
- Schedule aligned to U.S. Pacific Time (PT), with flexibility for meetings
- $2,000 to $4,000 per month, based on experience
- Compensation commensurate with experience and performance, under BrightBeam's contractor model
- Reports to the COO and CEO
Requirements:
- 5+ years of relevant experience, or equivalent experience owning complex operations in a high-growth environment
- Demonstrated experience managing teams, projects, and cross-functional execution
- Strong recruiting, interviewing, hiring, and people-management judgment
- Experience managing remote or internationally distributed teams
- Strong project-management and operational-systems experience
- Experience developing SOPs, KPIs, reporting, and accountability systems
- Exceptional organization, judgment, problem-solving, and follow-through
- Executive-level written and verbal communication,
with the presence to represent BrightBeam to senior client stakeholders
- Comfort making decisions with incomplete information in a fast-moving environment
- Strong proficiency with modern productivity, collaboration, and AI tools, including ClickUp, Google Workspace, Discord, and tools such as Claude and ChatGPT
Responsibilities:
- Own BrightBeam's daily and weekly operating rhythm, turning priorities into clear projects, owners, deadlines, and measurable outcomes
- Identify overdue work, blockers, capacity constraints, and operational risks early, and build systems that reduce dependence on executives or individual team members
- Own the effectiveness of recruiting and staffing: run critical, time-sensitive, and later-stage interviews, maintain qualified talent pipelines, anticipate staffing needs, and match talent to the right clients and responsibilities
- Oversee talent onboarding, performance management, development, and offboarding, and address underperformance early with clear, constructive accountability conversations
- Protect client satisfaction and retention by spotting delivery risks early, making sure client work is assigned, tracked, and delivered, and resolving issues involving performance, workload, staffing, or expectations
- Represent BrightBeam professionally with founders, CEOs, and senior client stakeholders, and lead or support sensitive conversations covering escalations, staffing changes, and service quality
- Oversee time tracking, attendance, payroll preparation, and workforce records
- Give leadership concise reporting on what is on track, delayed, blocked, or needs executive attention, and escalate significant issues early with a recommended solution
- Maintain and improve SOPs, workflows, documentation, and quality controls, and improve project-management discipline and operational visibility through ClickUp
- Work with technical teams to eliminate repetitive work through AI, automation, and better software. You do not need to be an engineer, but you should consistently ask why anything is still being done manually
Preferred:
- Experience in BPO, virtual staffing, outsourcing, agencies, managed services, or other client-service operations
- Prior experience as a Project Manager or in a role owning cross-functional projects end to end, including timelines, dependencies, stakeholders, and accountability
- Experience with ClickUp, workforce and time-tracking systems such as Jibble, high-volume recruiting, AI-enabled operations, or talent-to-client matching
- Hands-on experience with n8n, Zapier, Make, automated reporting, or operational dashboards
