About Your Startup Operations
Your Startup Operations is a boutique agency providing operational support to small businesses, primarily in the United States. Our mission is to empower small business owners by delivering white-glove service with the flexibility, care, and affordability they need to operate effectively.
We are looking for a highly resourceful, organized, and trustworthy Executive & Personal Assistant to support two co-founders with a mix of personal, household, and executive responsibilities.
This is a hands-on role for someone who enjoys solving problems, figuring things out independently, and taking ownership of requests from start to finish.
Our SCORE Values
- Solution-Focused: Think critically, take initiative, and bring solutions—not just problems.
- Curiosity: Ask thoughtful questions and actively seek to understand.
- Ownership: Take full accountability for your responsibilities and follow through until the job is done.
- Resourcefulness: Use the tools, people, research, and resources available to find answers and solve challenges.
- Excellence: Take pride in your work and consistently deliver high-quality results.
Who You Are
- You are extremely resourceful. When you encounter something you haven't done before, your instinct is to figure it out. You research, make calls, ask questions, compare options, and validate information until you have a reliable answer.
- You are comfortable moving fluidly between personal, household, and executive support. One day might involve coordinating travel or managing a calendar; another might involve finding a service provider, handling a household issue, or completing an in-person errand.
- You are proactive and anticipatory. Once you understand how the co-founders operate, you begin identifying needs and taking action without waiting to be asked.
- You have a strong sense of ownership and follow-through. You don't simply identify the next step—you help drive things through to completion.
- You are a clear, concise communicator who knows when to provide an update, ask a question, or make a recommendation.
- You are discreet, dependable, and trustworthy and understand the level of confidentiality required when supporting someone's personal, family, and household matters.
- You are highly organized and able to manage multiple requests, appointments, deadlines, and priorities without losing track of details.
- You are fluent in English and Spanish and confident communicating with US-based vendors, businesses, service providers, and other contacts.
- You are comfortable with a hybrid role that includes occasional errands, in-home responsibilities, and other on-site tasks in Mexico City.
- You are comfortable working independently in an international contractor environment and taking responsibility for managing your work and deliverables.
- You are detail-oriented. Hint: On your first interview, mention which SCORE value you most align with at the end of the interview for huge bonus points.
Responsibilities
- Manage personal and household matters for two co-founders, including calendars, appointments, scheduling, reservations, and vendor/service coordination.
- Coordinate family-related logistics, including appointments, care-related scheduling, and other personal needs.
- Manage household bills, payments, records, and related administrative tasks.
- Assist with light property management responsibilities, including rental applications, lease coordination, and communication with relevant parties.
- Plan and coordinate personal and business travel, including flights, accommodations, transportation, reservations, and itineraries.
- Provide executive assistant support as needed, including administrative paperwork, government registrations, scheduling, research, and light project management.
- Research and source vendors, service providers, products, and other solutions, thoroughly validating pricing, reviews, availability, and relevant details before presenting recommendations.
- Make calls, request quotes, follow up with vendors, gather information, and drive requests through to completion.
- Handle occasional errands and on-site tasks at a co-founder's home. Approximately 20% of the role may involve in-person work, with some flexibility depending on the week. This is not a fully remote position.
- Keep the co-founders informed through concise updates and proactively flag anything requiring their attention.
- Report primarily to one co-founder while supporting the second co-founder as needed.
Role Requirements
- Must be based in Mexico City, Mexico.
- Previous experience as a personal assistant, executive assistant, household/estate manager, property/Airbnb manager, hospitality professional, or in a similar high-touch service role.
- Fluent written and spoken English and Spanish.
- Strong research, sourcing, and problem-solving skills, with the ability to independently investigate and validate information.
- Highly organized and detail-oriented, with the ability to manage personal, household, and executive responsibilities simultaneously.
- Comfortable communicating directly with vendors, service providers, businesses, and other external contacts by phone, email, and messaging.
- Strong judgment and discretion when handling confidential personal, household, family, and business information.
- Comfortable completing a background check, reference check, and recurring drug screening due to the trusted and in-home nature of the position.
- Available for occasional in-person and on-site work in Mexico City with reasonable scheduling flexibility.
- Comfortable being engaged as an international independent contractor rather than as a local employee.
- Must be tech-savvy and comfortable learning new tools and systems.
- Must have a reliable backup internet connection.
Nice to have:
- Experience in recruiting, sourcing, research, or another role requiring strong investigative and information-gathering skills.
- A valid US visa, as occasional travel to Los Angeles may be required. A US visa is not required to apply.
- Experience in healthcare, nursing, caregiving, hospitality, or another field involving regular work in clients' homes.
