Role Overview The Bilingual Executive Assistant (Spanish/English) provides high-level administrative and operational support to founders, CEOs, and senior leadership teams while leveraging bilingual capabilities to bridge communication across English and Spanish-speaking markets. This role combines traditional executive support with cultural fluency, enabling seamless coordination with Spanish-speaking partners, clients, and team members across global markets.
You'll manage calendars, communications, and operational workflows while occasionally providing translation support for informal communications and business development initiatives in Spanish-speaking regions. This position is idóneo for organized, proactive professionals who thrive in cross-cultural environments and can navigate both languages with ease.
Your Impact Your bilingual expertise will enable executives to expand their reach into Spanish-speaking markets while maintaining operational excellence. You'll facilitate smoother communication with Spanish-speaking partners, clients, and vendors, reducing language barriers and cultural friction. By managing executive time, priorities, and cross-cultural coordination, you'll free leadership to focus on strategic growth and partnerships. Your work will directly improve organizational efficiency, strengthen international relationships, and accelerate expansion into Spanish-speaking regions worldwide.
Core Responsibilities Executive Support & Bilingual Communication — 35%
Manage executive calendars, inboxes, and priorities across English and Spanish communications
Draft, translate, and proof professional correspondence in both English and Spanish
Prepare meeting briefs, agendas, and follow-ups for English and Spanish-speaking stakeholders
Coordinate meetings with internal and external stakeholders across multiple time zones and languages
Provide informal translation support for emails, documents, and verbal communications as needed
Manage task lists and close 90%+ of delegated items within 48 hours
Maintain proactive oversight of ongoing projects ensuring timely cross-cultural execution
Operational Systems & Workflow Management — 25%
Maintain dashboards and documentation in project management tools (Notion, Asana, etc.)
Create and update SOPs in both English and Spanish to improve consistency
Build structure around recurring workflows through automation and process mapping
Monitor task completion and reduce recurring errors or missed deadlines
Streamline workflows supporting both English and Spanish-speaking team members
Facilitate team communication across language barriers using shared workspaces and tools
Cross-Cultural Coordination & Stakeholder Management — 20%
Serve as liaison between English-speaking leadership and Spanish-speaking partners/clients
Coordinate with Spanish-speaking vendors, service providers, and business partners globally
Support business development initiatives in Spanish-speaking markets
Maintain strong professional rapport with stakeholders across cultural contexts
Prepare talking points, summaries, and updates for bilingual audiences
Facilitate smooth communication during international calls and meetings
Calendar, Travel & Administrative Coordination — 15%
Own complex calendar management across multiple time zones and cultural considerations
Coordinate international travel arrangements with attention to Spanish-speaking destinations
Handle inbox triage in both English and Spanish languages
Support legal and administrative documentation including Spanish-language contracts
Track deadlines, commitments, and action items across bilingual projects
Protect executive time by managing schedule conflicts intelligently
Research, Documentation & Strategic Projects — 5%
Conduct market research on Spanish-speaking markets and expansion opportunities
Compile bilingual briefs, summaries, and actionable insights
Research potential partners, vendors, or opportunities in Spanish-speaking regions
Support special projects requiring bilingual coordination or cultural knowledge
Identify and propose solutions that leverage bilingual capabilities for competitive advantage
Must-Haves (Required) Language Proficiency: Fluent in both Spanish and English (written and verbal) with ability to translate and communicate professionally in both languages
Experience: 1-2+ years as an Executive Assistant, Admin Specialist, or Operations Partner supporting senior executives
Executive Support: Proven ability to manage calendars, inboxes, and C-level communication
Communication: Excellent written and verbal communication skills in English and Spanish
Organization: Exceptional attention to detail, organization,
and time management capabilities
Tech Proficiency: Comfortable with Google Workspace, Microsoft Office, and modern productivity tools
Proactive Mindset: Strong ownership mentality with ability to anticipate needs across cultural contexts
Discretion: High levels of confidentiality and professionalism when handling sensitive information
Remote Experience: Demonstrated ability to work remotely with leaders across time zones
Cultural Fluency: Understanding of cultural nuances in business communication across English and Spanish-speaking markets
Follow-Through: Demonstrated reliability in completing tasks and meeting deadlines consistently
Nice-to-Haves (Preferred) Bachelor's degree preferred
Background in Spanish-speaking markets, international business, or cross-border operations
Experience in healthcare, startups, AgTech, telecommunications, or project management
Experience building SOPs or operational documentation in bilingual environments
Exposure to AI tools for translation, automation, and productivity
Familiarity with analytics, reporting, or data-driven decision support
Experience supporting M&A;, investor relations, or due diligence in international contexts
Experience with CRM systems, e-commerce platforms, or project coordination tools
Prior experience coordinating with Spanish-speaking vendors or partners globally
Knowledge of Spanish-speaking business practices and cultural norms across different regions
