About Green Attic Roofing
Green Attic Roofing is a growing Chicagoland roofing and construction company serving residential and commercial customers.
Our projects include roof replacements, roof repairs, flat roofing, ventilation, exterior improvements, solar-related roofing work, and other construction services.
Our administrative team works closely with homeowners, property owners, sales representatives, estimators, project managers, field crews, subcontractors, suppliers, municipalities, and inspectors.
Roofing projects have many moving parts. A missed permit, material order, inspection, customer update, photo, or follow-up can delay an entire project. We are looking for an Administrative Assistant who understands this environment and can help keep projects organized and moving.
This is not a basic virtual assistant or data-entry position.
Who We Are Looking For
We are looking for someone organized, reliable, detail-oriented, and strong at follow-up.
The right candidate does not simply wait for instructions. You should be able to recognize what is still pending, follow up with the correct person, update the system, and make sure the issue reaches completion.
You should be comfortable communicating professionally with homeowners, suppliers, vendors, subcontractors, estimators, project managers, field crews, municipalities, inspectors, sales representatives, and internal office staff.
This role is especially important because small administrative mistakes can create large production problems. Missing documents, incorrect notes, forgotten follow-ups, or unclear communication can delay jobs and create unnecessary customer complaints.
Key Responsibilities
You will help keep daily roofing operations organized from the first customer inquiry through project completion.
Your responsibilities will include responding to customer calls, emails, texts, and inquiries; scheduling estimates, inspections, site visits, and project meetings; maintaining accurate customer and project records; and organizing estimates, contracts, permits, invoices, work orders, photos, and other project documents.
You will also follow up on pending estimates and customer decisions, track permit and inspection requirements, assist with inspection scheduling, and help coordinate roofing material orders and deliveries.
A major part of this role is communication and follow-through. You will coordinate information between sales, estimating, project management, production, vendors, subcontractors, and field crews. You will track project start dates, completion dates,
inspections, callbacks, and unfinished items and make sure required project photos and documents are properly uploaded.
You will also maintain information in CRM systems, spreadsheets, calendars, and shared folders, prepare simple task lists and daily updates, and escalate urgent customer, permit, material, scheduling, or production issues when management needs to become involved.
The expectation is not simply to update a task. The expectation is to help move the task toward completion.
Required Qualifications
- You must have at least 3 years of administrative, project coordination, customer support, or operations support experience, including at least 2 years supporting a U.S.-based roofing, construction, remodeling, restoration, contractor, or home-services company.
- You should have experience working with construction documents such as estimates, invoices, permits, contracts, schedules, work orders, and project files.
- Strong written and spoken English is required. You must also be comfortable communicating with U.S. customers, vendors, subcontractors, project managers, and field teams.
- The position requires strong attention to detail, excellent follow-up habits, and the ability to manage several projects and deadlines at the same time.
- You must be able to work independently, follow established company processes, and ask questions when something is unclear rather than guessing.
- You must also be available during U.S. Central Time / CST business hours and have reliable internet and a professional remote-work setup.
Software & Tools
You should be comfortable using Gmail, Google Calendar, Google Docs, Google Sheets, CRM systems, spreadsheets, calendars, and online project-management tools.
Experience with HubSpot, Jobber, ClickUp, Buildertrend, ServiceTitan, Monday.com, Asana, Housecall Pro, or similar construction software is a plus.
You do not need to know every system we use before starting. You do need to be comfortable learning new software quickly and working across several systems during the day.
Preferred Roofing & Construction Experience
Direct experience with roofing is strongly preferred.
Experience with residential roofing, commercial roofing, roof repairs, roof replacements, asphalt shingles, TPO, EPDM, flat roofing, solar roofing, exterior remodeling, gutters, siding, restoration, general contracting, permit coordination, inspections, material ordering, supplier coordination,
or production scheduling will make you a stronger candidate.
You do not need to be a roofer or estimator.
However, you should understand how a construction project generally moves from:
Lead → Estimate → Approval → Permit & Materials → Scheduling → Production → Inspection → Completion
This Role Is a Strong Fit If You
You are someone who follows up without needing repeated reminders, keeps accurate records, notices when information is missing, and communicates clearly.
You understand that deadlines matter and that an unresolved task should not disappear simply because someone else has not responded yet.
You are comfortable working with several projects at once, asking questions when necessary, escalating problems early, and taking ownership of assignments until they are completed.
You should also be comfortable communicating with both office employees and field personnel. Construction does not always move according to a perfectly organized spreadsheet, because apparently buildings refuse to cooperate with spreadsheets.
This Role Is Not a Fit If You
This position will not be a good fit if you have no U.S. construction, roofing, remodeling, contractor, or home-services experience.
It is also not a fit for someone whose experience is limited to general virtual assistance, data entry, or simple repetitive administrative work.
Candidates who require constant supervision, regularly forget follow-ups, struggle with multiple deadlines, are uncomfortable communicating with customers, or are unfamiliar with construction documents and project workflows are unlikely to succeed in this position.
You must also be able to work Central Time / CST business hours.
What Success Looks Like
A successful Roofing Administrative Assistant helps keep projects moving.
Customers are followed up with. Estimates are tracked. Project notes stay current. Permits and inspections do not disappear into administrative purgatory. Materials are followed up on. Documents and photos are organized correctly. Field teams receive the information they need.
Most importantly, open issues are identified early and followed through until there is a clear next step or resolution.
- Your work should help reduce missed leads, material delays, permit problems, scheduling mistakes, customer complaints, and incomplete project documentation.
