Who We Are
NOVAE0 is an entrepreneur-led ecosystem building a growing portfolio of product brands across beauty, skincare, haircare, dietary supplements, organic superfoods, and health & wellness — with in-house formulation and manufacturing (Leiluna Labs, our 5,600 sq ft owned facility in Tampa, FL).
This isn't a single-brand bookkeeping job. We operate multiple legal entities, sell through 5+ e-commerce channels (Amazon, Walmart, TikTok, Shopify, eBay), manufacture in-house, and are building a portfolio intended for a major exit — likely 3–7 years out, pending economic conditions. The financial complexity is real, the opportunity is massive, and the person in this seat will shape how money moves through the entire ecosystem.

- Multi-brand, multi-entity, multi-channel — this role touches the full financial picture across ~9 active product brands, multiple LLCs, and every major e-commerce platform
- In-house manufacturing — COGS isn't abstract here; we formulate, produce, warehouse, and ship. You'll understand the actual cost structure from raw materials to customer delivery.

The Opportunity
We're looking for our CFO — someone who can own the financial brain of the entire ecosystem. A practical, hands-on CFO for a scaling entrepreneur operation — not corporate finance in a box.
You'll inherit a business doing ~$10M+ in annual revenue with complex multi-entity, multi-channel economics — and you'll build the financial infrastructure to make it legible, optimized, and exit-ready.
This isn't just about keeping the books clean (though that's table stakes). You'll be building the systems that make our profit-share comp model work, designing Pod Value Reports that treat each team as its own P&L;, chasing capital access opportunities, and positioning the business for a major portfolio exit.
Our core strategy — and why the structure keeps evolving: we aim to turn every operation we have into an income stream by getting outside clients for it. The progression: an operation starts as an internal team (a "pod"), and once it lands clients of its own, we bump it out into its own legal LLC entity. Manufacturing, marketing, finance, tech — each one is a future standalone business. As CFO, you'll help manage this evolving entity structure: deciding when a pod is ready to spin out, standing up the new entity, and keeping the books, allocations, and inter-entity finances clean as the ecosystem multiplies.
One thing that makes this role different: we want someone who blends personal finance savvy with small business finance. In an entrepreneur-led operation, the line between the two is blurry — and there's real money in playing both sides well. Credit card points strategy, credit score optimization, hunting down 0% APR credit card offers, rewards maximization — tactics that most "corporate finance" people ignore are genuine profit levers here. If you're the kind of person who optimizes your own financial life obsessively, you'll fit right in.
Core Responsibilities (Priority Order)1. Multi-Entity Bookkeeping & Monthly Close
- Own accurate, timely bookkeeping across all NOVAEO entities
- Monthly close within 10 business days of month-end — every account reconciled
- Lead and manage our highly skilled in-house accountant/bookkeeper (Philippines-based) — you set strategy, direct priorities, review output, and own the process end-to-end; they execute day-to-day books under your direction. You must be able to drive consistent delivery and hold your team accountable.
- Help manage our evolving entity structure — per our pod → clients → LLC strategy, you'll help decide when an operation is ready to spin out into its own entity, stand up the new LLC financially (accounts, books, allocations, inter-entity agreements), and keep the growing structure clean and exit-ready
2. Brand-Level P&Ls; & Profit-Share Calculations
- Produce monthly P&Ls; at the brand level (TreeActiv, WHYZ, NatriSweet, and portfolio brands)
- Design and apply shared-cost allocation methodology (manufacturing, warehouse, supply chain, tech, admin)
- Compute profit-share payouts for brand leads — this is their primary compensation; accuracy and trust are critical
- Support PVR (Pod Value Report) calculations for non-brand pods
3. Cash-Flow Forecasting & Treasury Management
- Maintain rolling cash-flow forecasts
- Ensure all scheduled payments (payroll, suppliers, loans, subscriptions) are made on time
- If any supplier payment will be late, coordinate proactively with the sourcing pod for supplier communication
- Monitor inventory overhead (capital tied up in raw materials + finished goods)
- Build financial models and strategy around inventory capital — we have significant capital tied up in inventory; you'll model it, quantify its cash-flow impact, and drive strategy on how much we hold and how fast it turns
- Handle crypto/Bitcoin transactions — comfortably execute and manage crypto payments (inbound and outbound), maintain wallet/account controls, and keep clean records so every transaction is properly booked and tax-ready
4. Capital Access & Lending Strategy
- Pursue loans, lines of credit, grants, tax incentives, and government programs
- Find our idóneo banking partner — we're likely switching primary banks; you'll define what we need (multi-entity support, fees, credit appetite, international payments), evaluate candidates, negotiate, and lead the migration
- Create and manage our network of third-party financial partners — brokers, banks, lenders, and financial-services providers.
You own these relationships end-to-end and keep the network growing and diversified
- Set up a life insurance system for tax-free borrowing — design and implement a permanent life insurance structure we can borrow against tax-free (infinite-banking-style strategy): policy selection, funding strategy, and ongoing management of loans against cash value
- Manage SBA loan applications and lender relationships
- Research and capture government incentives: R&D; tax credits, FL manufacturing utility exemptions, disabled-veteran programs, PR entity programs
- Build credit AND banking/lender relationships for ALL of our entities — every entity should have a growing credit profile and real relationships behind it
- Improve business credit profiles (D&B;, traditional credit)
- Founder credit profile cleanup coordination
5. Internal Financial Platform, Transaction Tagging & Dashboards
- Help us build our own internal financial platform — this is a real goal, not a someday-dream. The more of it you can build yourself, the better. At minimum, you architect and direct: our AI/Tech team can execute the build under your direction, but you own what gets built and why
- Design the transaction tagging system at the platform's core — apply many different tags to every line item in the books so the same financial data can be presented in numerous ways (by brand, channel, team/department, cost type, and more)
- Build/oversee financial dashboards providing real-time views for leadership
- Coordinate with the Tech/AI pod on automation of tagging, reporting, and reconciliation
6. Tax Strategy & Compliance
- Act 60 + Puerto Rico entity strategy — our core tax strategy runs through Act 60 and our PR entities; you'll need to understand it, monitor compliance, and maximize it
- Hunt tax-saving opportunities beyond Act 60 — stay aware of and capture tax credits at every level: federal, State of Florida, and Puerto Rico
- Coordinate entity-level tax preparation and filing across all entities and jurisdictions (FL, PR, federal)
- Founder compensation optimization and tax strategy
- Travel-expense and per-diem policy design
- Shell entity dissolution decisions
7. Incentive Systems, KPIs & PVR Design
What's a PVR? A Pod Value Report is like a P&L;, but for an internal team (we call them "pods" — think departments). Since a pod isn't an independent business with its own revenue, we use our own methodology to assign a dollar value to what it contributes — then build a P&L-style; report around that. It lets us evaluate every team as if it were its own service business, and tie compensation to the value it actually creates.
- Help build and manage incentive systems for ALL roles across the ecosystem — our comp philosophy ties rewards to measurable results, and you'll be the numbers engine behind it
- Identify the top KPIs for each role and set clear targets — we run a Purpose → KPI → Target → Incentive framework; every target has a binary pass/fail threshold, and you'll help define which KPIs matter and where the bar sits
- Architect the Pod Value Report system: template, cost allocation, output value assignment
- Pilot first PVR, then expand across ecosystem pods
- Design PVR share incentive structures connecting pod performance to team compensation
8. Exit Readiness & Valuation Strategy
- Learn what buyers in e-commerce/CPG/manufacturing look for
- Build broker and buyer relationships
- Reshape chart of accounts, reporting format, and entity structure for buyer readiness
- Orient reporting around TTM (Trailing Twelve Months) performance
- Target: 18+ months of exit preparation before any sale process
- Timeline: the exit is likely 3–7 years away, pending economic conditions — you have time to build this right, and long enough runway for your profit share and the spin-out path to compound
9. Credit Card & Financial Platform Management (personal finance × business finance blend)
- Credit card points & rewards optimization — treat points as a real financial asset class
- Hunt and capture 0% APR / intro-offer credit cards as a cheap-capital strategy
- Credit score boosting (business AND personal — founder credit profiles matter for lending)
- Credit line growth strategy
- Financial platform account architecture across all entities (PayPal, Venmo, banking)
- Subscription audit and recurring-expense optimization
- Payment-processing and wire-fee reduction
10. Strategic Financial Intelligence
- Surface grants, incentives, capital opportunities, tax strategies, and finance-relevant news proactively
- Provide strategic financial guidance to the CEO — not just numbers, but recommendations
- Become a source of financial wisdom for the Entrepreneur Endeavor community
- Secondary data-analysis capability: marketing analytics (LTV, CPA, AOV), operational analytics
- Prepare informative finance content for entrepreneurs — you supply the rough ideas and raw insights; our marketing team polishes and produces. This content helps build our entrepreneur network and client base by giving real value away
- Long-term: help design and build a diversified investment portfolio for the ecosystem (precious metals, crypto, real estate, and beyond) — a distant milestone, but it's on the map
What We're Looking For Must-have:
- Multi-entity bookkeeping experience — you've managed books for businesses with multiple LLCs, brands, or divisions
- E-commerce financial literacy — you understand Amazon FBA economics, platform fees, COGS in a fulfillment environment, multi-channel revenue recognition
- Manufacturing COGS understanding — you know how raw materials, labor, freight, and overhead flow into cost of goods sold
- Strong AI/automation orientation — real experience using AI tools for financial work (not just basic ChatGPT). Detail matters — vague "I know AI" won't pass.
- Practical capital-access experience — you've pursued loans, grants, credit lines, or tax incentives for a real business. Not theory — execution.
- Financial relationship builder — you're comfortable sourcing, vetting, and managing relationships with bankers, brokers, and lenders. Building and running a network of third-party financial partners is a core part of this role.
- Incentive & KPI design ability — you can look at a role, identify the handful of KPIs that actually matter, set clear targets for them, and design compensation that rewards hitting them. You'll help build and manage incentive systems for every role in the company.
- Data fluency — comfortable with large datasets, can build and analyze spreadsheets, can work with financial data programmatically (SQL, Python, or equivalent) or through AI tools
- Proactive mindset — you surface opportunities and risks without being asked. You research, recommend, and act.
- Strong leader/manager — you'll lead our in-house accounting team. You know how to set clear expectations, install accountability systems, review work rigorously, and get consistent delivery from skilled specialists — not just do every entry yourself. Real management experience matters here.
- Tax-savings awareness — you keep a radar up for tax credits and incentive programs (federal, state, territorial) and know how to evaluate and capture them
- Crypto/Bitcoin transaction competence — you can confidently handle crypto transactions: sending/receiving payments, wallet management basics, and the bookkeeping + tax treatment that comes with them (cost basis, gains/losses). This is a real, recurring part of our operations — not a novelty.
- Personal finance × small business finance blend — you're fluent in tactics like credit card points strategy, credit score optimization, and 0% intro-APR offers, and you know how to apply them to a business context. Personal-finance-style optimization is a real profit lever here, not a hobby.
Strongly preferred:
- D&B; / business credit knowledge — understand how business credit scoring works and how to improve it
- SBA loan experience — you've navigated SBA applications, projections, and lender relationships
- Manufacturing accounting — specific experience with inventory accounting, WIP, and production cost tracking
- Multi-channel e-commerce accounting — Amazon, Walmart, TikTok, Shopify reconciliation
- Tax strategy experience — especially for multi-entity, multi-state/territory structures
- Exit-planning / M&A; exposure — even basic understanding of what buyers look for
- Coding or vibe-coding fluency — we want to build our own internal financial platform, and the more of it you can build (or vibe-code) yourself, the better. Directing our AI/Tech team's build with clear specs is the baseline; hands-on building ability is a major plus
- Investment strategy interest — genuine curiosity about precious metals markets, crypto, real estate, and capital allocation. A distant milestone for us is building a diversified investment portfolio — we'd love someone excited to help shape that when the time comes

Compensation
Base salary: $2,000–$3,000 USD/month, depending on experience.
Performance upside (this is where it gets interesting):
- Savings compensation — large bonuses for savings you generate: tax savings, payroll expense reductions, platform/subscription cost cuts, and more. You find it, you capture it, you get a meaningful piece of it.
- Capital-access bonuses — rewards for grants, loans, and capital access you secure beyond target
- Ecosystem profit share — after 90 days, you receive a 1% profit share of the entire ecosystem. For context: our ecosystem bottom line is running at $500–600K pre-tax as of end of August. Full transparency: our income isn't consistent yet — that's one of the things you'll help us fix — and as the ecosystem grows, so does your share.

What Happens Next

- The plan must include ideal KPIs and targets you'd propose for the Accounting & Finance pod (HarmonyOS format: Purpose → KPI → Target → Incentive)
