Resource Specialist
Job Summary
The Resource Specialist is responsible for supporting workforce planning, resource coordination, and staffing operations to ensure the right talent is assigned to the right work at the right time. This role partners with project leaders, managers, and delivery teams to track resource demand, availability, utilization, and allocation across the organization. The position also supports process improvement initiatives, including automation and AI-enabled tools that enhance planning accuracy, reporting efficiency, and operational visibility.
Key Responsibilities
- Coordinate resource requests, allocations, and assignments across multiple teams and projects.
- Track resource availability, utilization, capacity, and scheduling to support workforce planning.
- Partner with project managers, team leads, and leadership to align staffing needs with business priorities.
- Maintain accurate resource data in internal systems, dashboards, and trackers.
- Support onboarding, transitions, backfills, and assignment changes as needed.
- Monitor staffing gaps, conflicts, and forecasted demand to help proactively identify risks.
- Prepare reports and summaries on resource utilization, headcount, and staffing status.
- Support workforce planning and demand planning activities.
- Assist in process improvement efforts to streamline resource coordination and reporting.
- Collaborate with HR, PMO, and operations teams to ensure consistent resource management practices.
- Support the use of automation and AI-enabled tools to improve forecasting, reporting, scheduling, and data accuracy where appropriate.
- Maintain confidentiality and ensure accuracy of personnel and resource information.
- Provide administrative and operational support related to resource management processes.
Required Qualifications
- Bachelor’s degree in Business Administration, Human Resources, Information Technology, or a related field.
- 2+ years of experience in resource coordination, staffing, workforce planning, project coordination, or a related role.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and data accuracy.
- Proficiency in Microsoft Excel, reporting tools, and collaboration platforms.
- Ability to work effectively with cross-functional teams and stakeholders.
- Interest in using automation and AI-enabled tools to improve planning, reporting, and operational efficiency.
Preferred Qualifications
- Experience in professional services, consulting, IT, or project-based organizations.
- Familiarity with resource management systems, staffing tools, or workforce planning platforms.
- Experience preparing utilization, capacity, or forecast reports.
- Understanding of project lifecycle and staffing models.
- Exposure to automation tools, dashboards, or AI-assisted planning/reporting solutions.
- An appreciation for innovation, continuous improvement, and modern delivery approaches, including automation and AI-enabled services.
Education & Certifications
- Bachelor’s degree in Business Administration, Human Resources, Information Technology, or a related field preferred.
- Certifications in project management, workforce planning, or HR-related disciplines are a plus.
- Training in analytics, reporting, automation, or AI-enabled business tools is an advantage.
