Job Overview:

We are looking for a
Medical Virtual Assistan
t to support a busy psychiatry practice by managing patient care, sensitive intake, insurance authorizations, and scheduling. This role requires an empathetic, independent professional who can resolve conflicts and handle crisis situations with minimal oversight.

Schedule:
Remote, Full Time | Monday - Friday, 9:00 AM - 6:00 PM Eastern Time, with 1 hour unpaid break.

Responsibilities:
- Answer incoming calls from patients with excellent clarity and empathy, particularly those in crisis situations
- Manage patient scheduling and proactively resolve conflicts without requiring physician input
- Process insurance authorizations and follow detailed instructional videos for new procedures
- Send appointment reminders via email and text message to maintain patient engagement
- Maintain organized patient records and documentation with strong attention to detail
- Problem-solve independently when patients need to reschedule or have scheduling conflicts
- Build trusting relationships with patients through consistent,

- Adapt quickly to training materials and implement new procedures efficiently

Requirements:
- Fluent English communication skills
with clear and effective verbal communication.
- Previous experience as a medical receptionist,
medical VA
, or in healthcare administration.
- Experience working in a mental health or psychiatry practice.
- Familiarity with
HIPAA
compliance requirements.
- Experience with medical billing and coding.
- Knowledge of
insurance authorization
processes.
- Proven ability to problem-solve independently and make decisions without constant supervision.
- Strong organizational skills and exceptional attention to detail.
- Experience with patient scheduling systems and managing appointment calendars.
- Ability to remain calm and empathetic when speaking with patients in crisis.
- Eagerness to learn and implement new procedures from training materials.
