The Enrollment Operations Coordinator supports the VP of Enrollment by managing the day-to-day operational and administrative functions of the Enrollment Department. This role serves as the first point of contact for routine enrollment questions, coordinates with internal teams and TPAs to resolve issues, maintains enrollment information in HubSpot, and ensures requests are followed through to resolution. The goal of this position is to allow the VP of Enrollment to remain focused on enrollment strategy, education, engagement, training, and overall department performance.

Key Responsibilities
Enrollment Support & Issue Resolution
Serve as the first point of contact for routine enrollment questions from employers, employees,
brokers, and internal teams.
Research employee enrollment status, opt-outs, eligibility, terminations, and enrollment
discrepancies.
Coordinate with enrollment teams, TPAs, payroll, and other departments to resolve issues.
Own requests from initial inquiry through resolution and communicate the final outcome.
Escalate only issues requiring a decision, exception,



or VP-level involvement.
Enrollment Operations
Support day-to-day enrollment workflows for new and existing groups.
Track enrollment dates, deadlines, outstanding items, and required follow-up.
Assist with additions, terminations, opt-outs, enrollment changes, and corrections.
Coordinate routine employer and employee enrollment communications.
Support scheduling, preparation, materials, and follow-up for enrollment trainings.
Maintain enrollment trackers, documentation, and standard processes.
HubSpot & Reporting
Maintain the Enrollment section of HubSpot and ensure information is accurate and current.
Update group enrollment status, key dates, notes, activities, outstanding items, and next steps.
Use HubSpot tasks and workflows to manage follow-ups and prevent items from falling through the
cracks.
Maintain enrollment reports and provide the VP of Enrollment with visibility into open it
