JOB DESCRIPTION
Start your Human Resources career with a integral company
At International Paper Mexico, we are looking for an organized, proactive, and service-oriented individual who wants to develop comprehensive experience in Human Resources and corporate office operations.
As an HR & Office Services Assistant, you will participate in personnel administration, recruitment, onboarding, People & Culture events, internal communications, vendor management, requisitions, inventory control, and general office services.
What will your contribution be?
Human Resources Administration
- Compile, update, digitize, and securely maintain employee files.
- Review documentation using checklists and follow up on missing documents or pending signatures.
- Keep databases and tracking matrices up to date.
- Prepare documentation and supporting evidence for audits.
- Handle personal and employment information with strict confidentiality.
Recruitment and Onboarding
- Coordinate in-person and virtual interviews.
- Manage calendars, invitations, meeting rooms, building access, and Microsoft Teams sessions.
- Maintain timely and professional communication with candidates.
- Prepare documentation, welcome kits, and induction schedules.
- Welcome and guide new employees during their onboarding process.
Employee Experience
- Support the organization of celebrations, corporate events, and team-building activities.
- Prepare simple internal communication materials.
- Maintain calendars for birthdays, anniversaries, and corporate activities.
- Coordinate venues, materials, food, attendance lists, and event documentation.
Administration and Office Services
- Create and follow up on operational requisitions in SAP.
- Coordinate vendors, visitors, and access to the facilities.
- Monitor office cleanliness, order, and overall presentation.
- Manage inventories of stationery, cafeteria products, and office supplies.
- Identify shortages, delays, or incidents and follow up until they are resolved.
What are we looking for?
- Completed bachelor’s degree in Human Resources, Business Administration, Organizational Psychology, Industrial Relations, Industrial Engineering, Business Management, Human Capital Management, or a related field.
- Between 6 months and 2 years of experience in Human Resources, personnel administration, or administrative support.
- Experience gained through internships, social service programs, trainee programs, scholarships, or entry-level positions will be considered.
- Proficiency in Excel, Word, PowerPoint, Outlook, and Microsoft Teams.
- Ability to work with databases, employee files, calendars, and administrative controls.
- Excellent writing and spelling skills English and Spanish.
- Availability to work on-site at the corporate offices in Querétaro.
