At RES, we are currently looking for an Administrative Assistant to provide comprehensive administrative and operational support to our regional leadership team.
Position Summary The Administrative Assistant will provide high-quality administrative and operational support to regional leadership, ensuring the efficient coordination of schedules, meetings, business travel, expenses, documentation, and day-to-day activities.
The ideal candidate will be highly organized, proactive, detail-oriented, and able to manage multiple priorities in a fast-paced and dynamic environment. This role requires a high level of professionalism, discretion when handling confidential information, and strong communication skills when interacting with internal and external stakeholders.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments for regional leadership.
- Organize meeting logistics and prepare agendas, presentations, minutes, and action-item tracking.
- Manage correspondence, including emails, phone calls, and internal communications, ensuring timely follow-up.
- Coordinate business travel arrangements, including flights, accommodations, ground transportation, and meeting logistics.
- Process travel expenses, reimbursement requests, and related documentation.
- Coordinate travel, lodging, and transportation arrangements for technical, project, and regional teams as required.
- Support the preparation of business reports, presentations, presentations, and other management documentation.
- Provide administrative support for regional business activities, projects, and initiatives.
- Coordinate executive events, customer visits, vendor meetings, and other business-related activities.
- Maintain confidentiality and discretion when handling sensitive business information and documentation.
- Support employee engagement activities, team celebrations, recognition events, and internal initiatives.
- Maintain organized records, files, and administrative documentation.
- Ensure office resources, supplies, and administrative requirements are properly managed.
- Use digital business systems and collaboration tools, including ERP platforms, communication applications, and document management systems.
- Serve as a professional point of contact for internal and external stakeholders, providing accurate and timely information.
- Prepare and submit administrative reports and documentation as required by management.
- Support compliance with company policies, procedures, and operational requirements.
- Support Environmental, Health, Safety, and Quality (HSQE) initiatives in accordance with company standards and applicable regulations.
Qualifications
Education
- Bachelor's degree in Business Administration, Business Management, Marketing, Accounting, or a related field.
Experience
- Previous experience in an administrative support, Executive Assistant, Office Coordinator, or similar role.
- Experience supporting senior leadership or management teams is preferred.
- Experience coordinating business travel, meetings,
events, and administrative processes.
- Experience working with ERP or business management systems is preferred.
Technical Skills
- Strong proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
- Experience with digital collaboration and communication tools.
- Experience with ERP, document management, or business management systems is preferred.
- Strong written and verbal communication skills in English.
- Ability to prepare professional presentations, reports, and business documentation.
