This position is remote and open to all over the country, but you'll be required to visit our offices in CDMX or GDL on the first day (expenses are covered by you) Available only for applicants living in Mexico Job Title: Assistant Property Manager
Responsibilities Community Operations & Resident Support
- Provide day-to-day administrative support to Community Managers and leadership teams.
- Serve as a secondary point of contact for homeowners via phone and email.
- Respond to routine inquiries, community-related questions, and service requests.
- Assist with maintaining clear and professional communication with residents.
Vendor & Maintenance Coordination
- Coordinate maintenance requests,
work orders, and vendor services.
- Schedule vendors and track service completion.
- Follow up on outstanding maintenance and compliance issues.
- Collect and organize required vendor documentation.
Board & Committee Support
- Support Board of Directors and committee members with administrative tasks.
- Prepare correspondence, reports, spreadsheets, and meeting-related documents.
- Schedule board meetings and distribute required notifications.
- Prepare board meeting packets and supporting materials for review.
Project & Task Management
- Track community projects and ongoing initiatives.
- Monitor outstanding action items and deadlines.
- Maintain task trackers and provide status updates to management and boards.
Financial Administration
- Review and code vendor invoices for processing.
- Assist with bid proposal requests and vendor comparison analyses.
- Maintain accurate records related to contracts, services, and expenditures.
Records & Compliance Management
- Maintain accurate community records and document storage systems.
- Track architectural applications and compliance-related submissions.
- Ensure governing document requirements and administrative procedures are followed.
- Update community websites and informational resources as needed.
Community Communications & Materials
- Create and update community communication materials such as:
- Brochures
- Newsletters
- Flyers
- Handouts
- Resident information guides
- Maintain resident-facing resources, FAQs, and application forms.
Organization & Deadline Management
- Manage multiple priorities across several communities.
- Maintain strict adherence to deadlines and service standards.
- Support operational continuity during manager absences, transitions, or vacancies.
- Perform additional administrative and operational duties as needed.

Schedule
- Monday through Thursday from 8:30 a.m. to 5:30 p.m.
- Fridays from 8:30 a.m. to 3:00 p.m.
Minimum Requirements
- High School Diploma
- 1-2 years of experience working in Project Management or Administrative Support
- Experience working in property management, facilities management or maintenance provider industry is desirable.
- Experience providing customer support via phone and email.
- Advanced English skills (written and verbal)
