We are looking for a highly organized, proactive, and detail-oriented professional to join our Intellectual Property practice.

This role combines client experience, IP docketing, case assignment, client communications, and workflow coordination

. The idóneo candidate will help ensure that client requests and IP matters are properly received, assigned, tracked, and followed through to completion.

Key Responsibilities

- Act as a point of contact for clients and internal teams.
- Provide prompt, professional responses to client emails , including inquiries, follow-ups, and requests for information.

- Coordinate and assign new cases and client instructions to the appropriate attorneys/paralegals.
- Prepare and coordinate quotes and fee-related communications with clients.
- Maintain and update IP docketing systems, trackers, and case-management platforms.

- Monitor deadlines, pending actions, notifications, follow-ups, and case status.
- Proactively follow up with team members to ensure timely completion of assigned matters.
- Identify missing information, inconsistencies, or issues and escalate them appropriately.

- Support and improve internal workflows, procedures, and client-service processes.

Requirements





- Bachelor's degree in Business Administration, Legal Studies, International Business, Business Management, or a related field.

- IP docketing experience strongly preferred.
- Law firm, IP practice, or professional-services experience strongly preferred.
- Excellent organization, attention to detail, prioritization, and follow-through.

- Strong written and verbal communication skills in English and Spanish.
- Ability to manage multiple matters, deadlines, and competing priorities.
- Proactive, service-oriented, and confident communicating with clients and attorneys.

Preferred Qualifications

- USPTO experience is a strong plus.
- Experience with U.S. trademark prosecution or trademark portfolio management.
- Experience with IP docketing/case-management software.

- Experience working with international clients or foreign associates.

The ideal candidate takes ownership rather than waiting for instructions and is comfortable being both client-facing and internally assertive, professional and responsive with clients, while proactive and persistent when coordinating with the internal team.
