We are seeking a highly organized, proactive, and detail-oriented Administrative Supervisor (Platform) to oversee the daily administrative operations of our office. This role is responsible for ensuring an efficient, organized, and professional workplace by supervising office administration, facilities, vendors, logistics, travel coordination, administrative support functions, and corporate services while maintaining high service standards across the organization.
The Administrative
Supervisor will also support multiple business units, manage office resources and budgets, coordinate immigration-related processes, and ensure seamless administrative operations across the company.
Key Responsibilities
- Supervise the day-to-day administrative operations of the office.
- Oversee the administrative support and operational needs of 8 company departments , ensuring efficient and timely service.
- Ensure the office is well-maintained, organized, and fully operational at all times.
- Coordinate office supplies, equipment, and inventory, ensuring timely replenishment.
- Supervise administrative staff and assign daily tasks as needed.
- Manage relationships with external vendors, service providers, and building management.
- Coordinate office maintenance, repairs, cleaning services, and facility-related activities.
- Oversee office logistics, including transportation, courier services, and general office support.
- Coordinate domestic and international business travel arrangements , including flight bookings, hotel reservations, transportation, and travel schedules.
- Support the planning and execution of corporate events, employee activities, and team-building initiatives.
- Coordinate internal and external immigration processes , ensuring compliance with company requirements and local regulations.
- Manage work visa processes for expatriates, and business visitors.
- Serve as the primary point of contact with suppliers and vendors for fixed asset management , including procurement, inventory control, and asset tracking.
- Manage and monitor the monthly administrative budget , ensuring cost control and efficient allocation of resources.
- Ensure compliance with internal administrative policies and company procedures.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
- 3–5 years of experience in office administration, facilities management, or administrative supervision.
- Previous experience leading or supervising administrative teams.
- Experience supporting multiple departments simultaneously.
- Experience coordinating domestic and international business travel.
- Knowledge of internal and external immigration processes.
- Experience managing work visa applications and immigration documentation.
- Experience managing supplier relationships and fixed asset administration .
- Experience managing monthly administrative budgets and expense control.
- Conversational English (required).
- Valid driver's license.
- Strong knowledge of Microsoft Office (Excel, Word, Outlook).x|
- Ability to manage multiple priorities in a fast-paced environment.
- Customer service-oriented with a proactive attitude.
- High level of professionalism, confidentiality, and attention to detail.
- Previous experience working in Chinese companies is preferred.
