Bilingual HVAC Install Coordinator – Dispatch Experience Required

We are currently seeking an organized, sharp, and proactive HVAC Install Coordinator with strong HVAC dispatch experience to join our team in a permanent, fully remote capacity.

Role Overview

As our HVAC Install Coordinator, you will serve as the bridge between our customers, sales team, installation crews, and internal operations team. You will coordinate installation projects from scheduling through completion, ensuring that the right crew is assigned, job information is accurate, materials and equipment are ready, and installations stay on schedule.

This position requires someone who understands HVAC installation operations and field dispatching. You should be comfortable managing multiple installation jobs, coordinating crews, adjusting schedules, and resolving logistical issues quickly.

Key Responsibilities

- Installation Scheduling: Coordinate and schedule HVAC installation projects based on job requirements, crew availability, location, and technician skill sets.
- Dispatch: Dispatch HVAC installation crews and ensure they receive complete and accurate job information before heading to the job site.
- Crew Coordination: Communicate with Install Leads, Installers, Helpers, and other field personnel regarding schedules, job requirements, delays, and changes.




- Project Coordination: Track installation projects from scheduling through completion and ensure jobs remain on schedule.
- Bilingual Communication: Act as a primary point of contact for English and Spanish-speaking customers and team members.
- Job Readiness: Review upcoming installation jobs to ensure equipment, materials, permits, job notes, and other requirements are ready.
- Logistics: Coordinate equipment, materials, permits, and other resources required for upcoming installations.
- Schedule Management: Monitor the daily schedule and make adjustments when there are cancellations, delays, call-outs, or other unexpected issues.
- Problem Solving: Troubleshoot on-site logistical and scheduling issues remotely and coordinate solutions with the appropriate teams.
- Customer Communication: Communicate installation schedules and updates to customers and follow up on outstanding concerns.
- Quality Follow-Up: Follow up after installations to ensure jobs are properly completed and customer concerns are addressed.
- Documentation: Maintain accurate job notes, schedules, dispatch records, and project updates in the company's systems.

Qualifications & Requirements

- HVAC dispatch experience is required.
- Proven experience as an HVAC Install Coordinator, HVAC Dispatcher, Project Coordinator, Assistant Project Manager, or similar role within the HVAC industry.
- Experience specifically coordinating or dispatching HVAC installation crews is strongly preferred.




- Strong understanding of residential HVAC installation processes and terminology.
- Fully bilingual in English and Spanish, both written and spoken.
- Experience using ServiceTitan, Housecall Pro, or similar HVAC scheduling/CRM software is highly preferred.
- Strong organizational and time-management skills.
- Excellent communication and follow-through.
- Ability to manage multiple installation projects and priorities simultaneously.
- Comfortable making quick decisions and resolving scheduling issues under pressure.
- Strong attention to detail.
- Ability to work independently in a remote environment.
- Must have a reliable high-speed internet connection, dependable computer, and quiet WFH workspace.
- Willingness to work aligned with US Pacific Time.
