We are looking for a Maintenance Coordinator to manage incoming maintenance requests from residents and coordinate repairs with the appropriate vendors. This person will serve as the main point of contact for tenants experiencing maintenance issues and will be responsible for making sure requests are properly documented, assigned, and followed through to completion.
Responsibilities
- Answer incoming calls and messages from residents regarding maintenance issues, damages, and repair requests.
- Gather all necessary information from residents to understand and properly document the issue.
- Create and update
maintenance tickets/work orders
in the property management system.
- Determine the urgency and type of maintenance request and assign the appropriate vendor or technician.
- Contact and dispatch plumbers, electricians, HVAC technicians, handymen, and other vendors as needed.
- Coordinate scheduling between residents and vendors.
- Follow up on open work orders to ensure repairs are completed in a timely manner.
- Keep residents updated on the status of their maintenance requests.
- Escalate emergency or high-priority maintenance issues to management when necessary.
- Maintain accurate records of maintenance requests, vendor communication, and completed repairs.
Requirements
- Strong customer service and communication skills.
- Excellent English, both written and spoken.
- Highly organized and able to manage multiple open requests at once.
- Comfortable handling a high volume of phone calls and communicating with residents.
- Strong follow-up skills and attention to detail.
- Ability to prioritize urgent issues and problem-solve independently.
- Experience in
property management, maintenance coordination, dispatching, or customer service
is strongly preferred.
- Comfortable working with property management software, ticketing systems, or similar platforms.
