This role supports two parallel operations — a 20-plus unit residential rental portfolio and a grocery/liquor store business — by bringing structured, documented coordination to vendor scheduling, compliance tracking, and tenant and store communications. The Dispatch Coordinator will replace ad hoc phone and text-based workflows with a consistent, trackable system covering confirmed appointments, in-progress status, and completion logging across both lines of business.



The position operates fully within EST business hours and requires a self-sufficient operator who can own recurring workflows end to end without requiring constant escalation.

[RESPONSIBILITIES]
- Coordinate and schedule vendors across HVAC, plumbing, electrical, refrigeration, and general handyman trades.
- Execute structured confirmation workflow at day-before, morning-of, and completion stages for every dispatch.
- Log all vendor dispatches same day across both the residential portfolio and store operations.
- Track recurring compliance renewal deadlines for lead-paint registration and rental licenses ahead of due dates.
- Maintain and update multiple Excel or Google Sheets trackers covering properties, contractors, and maintenance schedules.
- Conduct written and verbal follow-up with tenants, vendors, and store staff to confirm work status and next steps.
