We are looking for a highly organized and proactive Executive Coordinator, Marketing to support executive-level coordination, marketing initiatives, events, and special projects.This is a hands-on, mid-level role for someone who combines strong executive coordination and project management skills with a background in marketing, events, or communications.
The ideal candidate is professional, polished, highly organized, and comfortable managing multiple priorities with limited supervision.This person should be able to take a general idea or concept, turn it into an actionable plan, and coordinate the details needed to execute it successfully.Key ResponsibilitiesCoordinate conferences, receptions, meetings, and other company eventsResearch and book venues, hotels, restaurant reservations, and other event-related servicesCoordinate hotel room blocks, executive travel arrangements, schedules, and reservationsSupport executive attendees before and during conferences, meetings, and eventsEnsure meeting and conference rooms are properly prepared with required supplies, catering, refreshments, breaks, and AV equipmentCoordinate vendors, venues, printers, and other external partners as neededManage the shipment and delivery of booth materials, printed collateral, signage, and other event materialsCreate and update presentations, slides, and branded decks based on general direction or concepts provided by leadershipSupport social media activities, including coordinating and publishing contentAssist with basic advertising and promotional initiativesCoordinate executive or company appearances, speaking engagements, and related logisticsPrepare and send speaker photos, bios, presentation materials, and other required information ahead of engagementsSupport the development of post-event content for newsletters, social media, and other communicationsDraft light marketing and promotional copy as neededMaintain project timelines, follow up on action items,
and help ensure deadlines are metCoordinate multiple projects and priorities simultaneously while maintaining strong attention to detailProvide general executive and administrative support related to marketing initiatives, events, and special projectsPartner closely with leadership and other internal stakeholders to ensure projects are executed professionally and efficientlyPotentially help coordinate and provide direction to an intern or junior resourceRequirementsPrevious experience in an Executive Coordinator, Executive Assistant, Marketing Coordinator, Project Coordinator, Events Coordinator, or similar rolePrevious exposure to marketing, communications, events, or brand-related activitiesExperience supporting executives or senior-level stakeholders is strongly preferredStrong project coordination and organizational skillsAbility to independently manage projects from initial concept through executionExcellent attention to detail and strong follow-up skillsAbility to manage multiple priorities, deadlines, vendors, and stakeholders simultaneouslyProfessional presence and strong interpersonal skillsStrong written and verbal communication skillsComfortable creating presentations and working with branded materialsBasic experience with social media, marketing content, or promotional activitiesStrong proficiency with Microsoft Office or Google Workspace, particularly PowerPoint or Google SlidesAdvanced English proficiency is requiredA valid U.S. visa is required, as the role may involve travel to the United States for conferences, events, meetings, or other business activitiesPreferred QualificationsExperience coordinating conferences, corporate events, trade shows, or executive meetingsExperience managing executive travel and event logisticsMarketing or communications backgroundExperience creating presentations, newsletters,

They are comfortable supporting executives while also taking ownership of marketing and event-related projects.They do not need to be a senior marketing strategist or specialized copywriter.
