Job Summary:
- The Contracts Administrator is responsible for collaborating with internal personnel to provide contract support for client contracts, as well as other related projects and initiatives that support the organization.
- The Contracts Administrator utilizes financial and contract expertise to review, process, and assure accurate and timely implementation of customer contract agreements in Workday Financials. The role ensures all information is accurate per the terms and conditions of the fully executed customer contract and evaluates customer profiles and activities and company policies to help ensure contract terms are followed. This role reports to a dual leadership structure including US-based Contracts Administration, Principals, and Billing team leadership and India based leadership.
Responsibilities:
- Prioritizes and utilizes time efficiently to provide support to Principals, Billing and other business teams across contract administration functions, including contract development, review, and integration with contract management system.
- Reviews draft contracts and contract addendums before issuance to potential and existing clients and suppliers to ensure compliance with company policies and to identify and recommend changes to Contract Manager where, in the Contract Administrator’s independent judgment, the existing draft exposes the company to risks of nonpayment or other performance problems.
- Reviews payment schedules and evaluates risk of customer non-payment, and based on assessment, makes recommendations on changes to payment schedules to reduce company risk of non-payment.
- Evaluates internal risk assessment prepared by sales team prior to onboarding clients.
- Provides contract management oversight to ensure that contracts and related documents are prepared in accordance with company’s policies and procedures, and liaises with Principals, Billing or Business teams to resolve deficiencies and recommend process improvements to avoid future concerns.
- Reviews contracts and makes recommendations to improve the company’s contract administration processes based on assessment of prior performance issues and best practices.
- Maintains knowledge of industry best practices in contract administration to advise company.
- Keeps track of discrepancies or other contract administration problems to identify trends and report on areas of concern or need for evaluation of company policies and procedures.
- Records executed contracts and contract addenda within the company’s contract management system (Workday Financial). Where exceptions are identified, researches basis(es) for exceptions and, in Administrator’s discretion, recommends or implements resolution to exceptions.
- Validates and enters customer contracts data on a daily basis via Enterprise Integration Builder (EIB) uploaded into Workday.
- Reviews project and opportunity details in QuickBase to ensure completeness.
- Ensures billing schedules in Workday accurately reflect the billing details in the executed contact and are ready for invoicing.
- Reviews fully executed amendment agreements and executes the necessary contract/project/ billing changes in Workday.
- Coordinates with Principals, Managers, Billing and other business teams to resolve customer contract and amendment questions and discrepancies; makes recommendations for resolution of discrepancies based on assessment of risks and to comply with company policies and procedures.
Education & Experience:
- Bachelor's degree in accounting, finance, business management, technology, or other relevant subject area, or equivalent years of experience directly related to the duties and responsibilities specified
- 5 or more years of total experience, with a minimum of two (2) years of relevant contracts experience, possibly in a paralegal role.

- High level of proficiency with Microsoft Word. Moderate proficiency with Outlook, Excel, and Workday financials.
- Experience with Workday Financials is a plus.
