About LoanBud

LoanBud is a growing fintech and small business finance company. We help business owners access capital to start, buy, grow and refinance businesses. We've invested heavily in technology and are entering an important stage of growth — which means we now need stronger financial controls, clearer visibility into spending, accurate partner payment processes, and a more scalable A/R and A/P operation.

Engagement Overview

LoanBud is seeking an independent contractor to own our day-to-day accounting and financial operations — someone who can manage the books while improving the systems behind them.

Because we operate in fintech and work with lenders, brokers and referral partners, this engagement also involves designing and running a reliable partner payment system. This is not a transaction-entry engagement: we're looking for a provider who will proactively investigate expenses, identify waste, recommend savings, automate repetitive work, and improve how financial information moves through the company.

Scope of Services The contractor will provide services across the following areas:

- Bookkeeping & close — maintain QuickBooks Online, categorize and clean up transactions, keep an organized chart of accounts, prepare support for CapForge, and run an accurate, on-time monthly close.
- Accounts receivable — build and maintain A/R, track and collect on amounts owed, reconcile receipts to revenue events, and report weekly on collections and aging.
- Accounts payable — run A/P on an accrual basis, approve and schedule payments, prevent duplicate or unsupported payments, and maintain vendor records and weekly A/P reporting.
- Partner payments — design and manage a scalable process for referral, broker and lender payments; validate calculations against contracts and funded transactions; and maintain a documented, auditable partner payment ledger.
- Expense control & cost savings — monitor spending continuously, report it by vendor/department/category,

and proactively surface quantified cost-saving and vendor-optimization recommendations.
- Reconciliations — reconcile all bank and credit-card accounts monthly, and reconcile ADP payroll to QuickBooks.
- Vendor & subscription management — maintain a complete vendor/contract register and flag renewals, overlaps and price increases before they hit.
- Cash & reporting — maintain a rolling 13-week cash-flow forecast and deliver a reliable weekly cash report to the CEO, plus monthly budget-vs-presente and savings reporting.
- AI & automation — use AI responsibly to speed up finance workflows, with appropriate review controls, and document processes so they can be automated over time.

Required Experience

- 5+ years in bookkeeping, accounting operations or finance operations.
- Strong hands-on QuickBooks Online experience.
- Proven experience building and running A/R and A/P processes.
- Experience reconciling bank accounts, credit cards and payroll.
- Experience with partner payments, commissions or revenue shares.
- Experience supporting U.S.-based companies, with strong accrual accounting and month-end close knowledge.
- Strong Excel/Google Sheets skills and the ability to analyze expenses and recommend cost reductions.
- Demonstrated, responsible use of AI tools in day-to-day finance work.
- Strong written and spoken English, excellent attention to detail, and the confidence to enforce financial processes across departments.

Nice to Have Experience with ADP; fintech, lending or payments experience; broker/referral commission management; SaaS and cloud cost optimization; tools like Ramp, Brex, Bill.com, Expensify, Dext or Hubdoc; and workflow automation with Zapier, Make, Power Automate or APIs.

Working Arrangement

This is a fully remote independent contractor engagement. The contractor sets their own schedule, methods, and location,

and provides their own equipment, workspace and internet.

For collaboration, the contractor should generally be reachable during an availability window overlapping U.S. Eastern Time business hours, to join financial reviews and meetings with the CEO, CapForge and department leaders. This reflects when real-time coordination happens; it is not a mandated schedule or minimum-hours requirement.

Engagement Terms

This is an independent contractor engagement, not employment. The contractor is responsible for their own taxes, social contributions, insurance, and any registrations required in their jurisdiction, and is not entitled to employee benefits.

Service fees will be based on experience, ability, and the level of ownership the contractor can assume. Fee structure, invoicing, engagement term, and other commercial terms will be discussed during the selection process. The contractor is free to provide services to other clients; exclusivity is not required.

Selection Process

Interested providers should submit a résumé or profile, a short summary of their QuickBooks Online and A/R/A/P experience, an example of a cost-saving they identified and implemented, a note on how they use AI in their work, and their general availability for U.S. Eastern Time overlap.

Selected providers will have an initial conversation, a technical discussion, and a short practical evaluation (transaction classification, bank reconciliation, a partner payment calculation, expense analysis, and a brief cash report), followed by a final conversation on scope and commercial terms.

Be Part of Our Growth Story

LoanBud is building a better way for entrepreneurs to access capital, and sound financial operations are central to that effort. This engagement is a chance to shape the financial backbone of a growing fintech platform — bringing clarity to cash, collections, partner payments and expenses, and building the systems that let LoanBud scale with confidence.

We're looking for a provider who takes ownership, communicates directly, and follows through. Our mission is to empower entrepreneurs to gain access to capital.
