We’ve invested heavily in ClickUp as the backbone of our project management operations. Now, we’re looking for a Project Manager (Contractor) who can own, optimize, and lead our ClickUp ecosystem from end to end — transforming a powerful tool into a streamlined operation that helps our team perform at its best.
What You’ll Be Responsible For
Your mission: Make ClickUp run like a well-oiled machine.
You’ll be the go-to expert, strategist, and operator of all things ClickUp — ensuring it’s clean, consistent, and aligned with how we do business. This role isn’t just about managing tasks; it’s about building and refining systems that drive performance across departments.
Core Responsibilities
**ClickUp Ownership & Optimization**
- Maintain and improve the existing ClickUp structure (spaces, folders, lists, views, automations, and custom fields)
- Continually audit, update, and clean up task structures and workflows to reduce clutter and confusion
- Build or refine dashboards, templates, automations, and SOPs across departments
**Project Management & Workflow Design**
- Ensure all projects are set up and tracked effectively with clear timelines, assignments, and priorities
- Build systems for repeatable work: recurring task structures, templates, and process flows
- Identify workflow gaps and recommend ClickUp-based solutions
**Team Training & Adoption**
- Onboard new hires to the ClickUp system
- Create simple training guides or Loom videos to help team members use ClickUp consistently
- Act as the “ClickUp Coach,” offering ongoing help, support, and training across the team
**Reporting & Visibility**




- Build and manage reporting dashboards for leadership and project stakeholders
- Monitor progress on active projects and flag delays, bottlenecks, or missing information
- Ensure team members are consistently updating statuses, due dates, and comments
We’re Looking For Someone Who
- Has 2-4 years of experience in project or operations management, ideally within a digital marketing agency, startup, or fast-paced environment
- Possesses advanced English communication skills (written and spoken) — essential for daily collaboration
- Has extensive hands-on experience building and managing systems in ClickUp
- Is highly organized, detail-oriented, and passionate about process optimization
- Can train others and communicate systems clearly and effectively
- Is proactive, analytical, and able to identify and resolve inefficiencies
Bonus Points If You
- Have experience recruiting or managing roles in construction, engineering, or HVAC sectors
- Hold ClickUp certifications or similar project management credentials
- Have experience with automations and integrations (e.g., Zapier, Make, Slack, Google Suite)
- Have worked in cross-functional digital marketing teams
