About the Client
A boutique luxury travel agency serving high- and ultra-high-net-worth travelers is looking for a Travel Coordinator to transform raw, in-destination travel proposals into polished, client-ready itineraries that match the brand's white-glove standard.
Founded by a solo advisor whose client base has grown almost entirely through referrals and repeat business, the agency has outpaced its own production capacity and needs a trusted partner who can maintain its premium standard without close supervision.

About the Role
This role centers on converting raw supplier and destination-partner proposals into visually polished, on-brand itineraries in Canva, layering in personalized dining, shopping, and experience recommendations for each traveler. Success means consistently hitting sub-48-hour turnaround windows with zero client-facing errors, freeing the founder to focus on client relationships and growth.
Beyond itinerary design, the role supports pre-arrival and post-trip client communications, prepares internal briefing notes for hotel and destination partners, and keeps itinerary files and timelines organized across shared systems.

Core Responsibilities
Itinerary Design & Production
Convert raw travel proposals from destination partners into polished,



on-brand itineraries using Canva
Layer in personalized dining, shopping, and experience recommendations for each traveler
Standardize formatting and maintain brand voice and layout consistency across all deliverables
Proofread all outputs for zero grammar or formatting errors before delivery
Client & Partner Communications
Draft client-facing pre-arrival and final trip summary emails
Prepare internal briefing notes for hotel staff and destination guides on traveler background and preferences
Flag formatting gaps or itinerary inconsistencies proactively before they reach the client
Operations & File Management
Track itinerary timelines and status updates across shared systems
Organize and maintain client folders and templates for fast retrieval
Support light project coordination, including deadline tracking across concurrent itineraries
Requirements
Must-Have
Advanced Canva proficiency for producing polished, brand-consistent client deliverables (portfolio or work sample required)
2+ years of experience producing client-facing documents, itineraries, or presentations in a luxury, hospitality, or premium-brand environment
Demonstrated track record of meeting sub-48-hour delivery turnarounds on design or content deliverables
Experience drafting professional client-facing email communications (confirmations,



welcome, or pre-arrival messaging)
Proficiency with Google Workspace (Docs, Sheets, Gmail) for daily documentation and file organization
Experience with task/project management tools (ClickUp, Asana, Trello, or similar) for tracking deliverables
C2 CEFR English proficiency (near-native fluency and grammar accuracy for client-facing output)

Nice-to-Have
Prior experience in luxury travel, hospitality, or high-end event planning
Background in graphic design, layout, or editorial/publishing production
Familiarity with travel itinerary or trip-planning platforms (e.g., Travefy, Axus)
Experience transitioning from a part-time to full-time engagement with a solo founder or small team
