**Overview**
Join a dynamic commercial real estate development firm as an Executive Assistant dedicated to supporting our executive team and ensuring the smooth operation of our office. **Responsibilities**
- Provide comprehensive executive administrative support, including calendar management using Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and deadlines are organized efficiently.
- Coordinate project-related activities by assisting with document preparation, proofreading, transcription, and data entry to support ongoing development initiatives.
- Manage office operations seamlessly by overseeing filing systems, handling phone etiquette on multi-line phone systems, and maintaining office supplies and equipment.
- Plan and execute company events, meetings, and client engagements through detailed event planning and logistics coordination.
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping to support the firm’s financial health.
- Provide exceptional customer service at the front desk or reception area, greeting visitors professionally and directing inquiries promptly.
- Support personal assistant duties for executives including travel arrangements, personal scheduling, and confidential correspondence.
- Maintain organized records through filing systems and ensure all documentation complies with company standards and confidentiality requirements.
- Assist with office management tasks such as overseeing office supplies inventory, managing office equipment maintenance, and supporting team communication efforts.
**Qualifications**
- Proven experience as an executive assistant or in an administrative role within a professional office environment; experience in commercial real estate or project coordination is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Skilled in event planning, calendar management, data entry, proofreading, transcription, and clerical support functions.
- Experience using QuickBooks for bookkeeping purposes is highly desirable.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Ability to handle confidential information discreetly while demonstrating strong attention to detail.
- Effective communication skills—both written and verbal—and a customer service-oriented mindset.
Pay: $20,000.00 - $30,000.00 per month

- Master's (preferred)

- Banking, Real Estate, Finance: 5 years (required)
