Overview:
To provide support for Human Resources administration processes, based on the company's policies, procedures, and values, in order to ensure employee integration and satisfaction.
**Job Description**:
**Hiring and Onboarding**:
- Prepare and/or update personnel files (active and inactive), either physical or electronic as applicable, in accordance with the personnel file policy.
- Process site access requests for employees to ensure timely entry.
- Deliver the company onboarding presentation, including general site information, during the hiring and induction process, in accordance with company policy.
- Coordinate the onboarding process for new hires with the corresponding departments (Quality, Safety, and Operations) in alignment with company policy.
- Maintain an inventory of lockers assigned to site personnel and assign lockers to new hires.
- Register biometric information for new employees to ensure timely access.
- Introduce and assign new employees to their direct supervisor.
- Submit Infonavit (Withholding/Suspension Notice) and/or Fonacot credits for new hires to the Payroll department to ensure proper and timely deductions.
**Personnel Administration**:
- Deliver grocery voucher cards to new hires and to employees requiring replacement due to loss.
- Process extraordinary transportation requests previously authorized by the HR Supervisor.
- Process extraordinary meal requests previously authorized by the HR Supervisor.

- Support the HR Supervisor in distributing uniforms to site personnel in accordance with company policy.
- Update communication boards and screens at the assigned site according to guidelines defined by the OD Manager and HR Manager.
- Assist employees in redeeming points awarded through the Seniority Awards program.
- Conduct periodic yard walkthroughs according to the schedule established by the HR Supervisor to address employee needs and questions (uniforms, transportation, cafeteria, payroll, etc.), and manage the resolution of such matters.
- Support the HR Supervisor in executing motivational events (Father's Day, Ocean Day, Year-End Party, Monthly Birthdays, etc.).
- Deliver Major Medical Insurance certificates and ID cards to administrative staff annually in January.
- Update required documentation for employee access renewals according to the client's established calendar (medical exams, safety course renewals, biometrics and/or credentials, background check letters, IMSS registration, access to tools such as company computer and phone).
- Ensure that all site personnel annually renew their life insurance policy forms and integrate the policy into each employee's personnel file to guarantee enrollment in this benefit.
**Payroll**:
- Process employee registrations, terminations, and modifications related to savings funds and savings fund loans.
- Report extraordinary payroll incidents in the Kronos system, gather and attach supporting documentation, and submit them to the HR Supervisor for review.
- Provide assistance to employees regarding questions about their payroll receipts.
- Receive and manage delivered packages (checks, voucher cards, etc.).
- Provide support to the Operations Supervisors team in validating and capturing employee incidents in Kronos.
- Monitor and maintain physical and digital records of employee medical leaves and any other IMSS procedures (e.g., disability pension, workplace risks, etc.).
**Labor Relations**:
- Receive voluntary resignation letters from employees leaving the company.
- Deliver voluntary resignation documentation to departing employees (exit interview, final settlement calculation, and check).
- Send final settlement documentation (check policy, settlement documents) to the Payroll department.
- Send agreement documentation to the Labor Relations Manager.
- Deliver the Internal Work Regulations (RIT), Code of Conduct, and Employee Handbook.
- Accompany the union advisor during yard/site walkthroughs when requested by the client, and report any findings to Labor Relations Management to ensure timely follow-up and resolution.
Job Requirements:
**Education**:
Bachelor's Degree and/or Engineering degree in Administration, Industrial Relations, Organizational Psychology, or a related field.
**Knowledge**:
Basic knowledge of Payroll, Recruitment & Selection, Labor Relations, Personnel Administration, Microsoft Office Suite, and internal customer and vendor service.
**Experience**:
2 years of experience in the Human Resources area.
**Required Language**:
Basic/Intermediate English.
**Availability to Travel**:
Yes.
