**PURPOSE**
The Ocean Import and Export Coordinator is responsible for coordinating and managing the logistics of international shipments arriving and departing by sea, including arranging transportation, preparing necessary documentation, tracking cargo movement, and ensuring compliance with customs regulations, acting as a liaison between clients, shipping lines, and customs authorities to facilitate smooth import and export processes.
**PRIMARY DUTIES & RESPONSIBILITIES**
- Secure ocean freight space with shipping lines based on client requirements.
- Manage booking details including vessel schedules, container types, and port of origin/destination.
- Create and manage bookings in CargoWise, ensuring all shipment data is accurate and up to date.
- Coordinate pick-up and delivery arrangements for cargo at warehouses and ports.
- Prepare and submit all necessary import/export documents including bills of lading, commercial invoices, packing lists, customs declarations, and certificates of origin.
- Ensure accurate completion of documentation to comply with customs regulations.
- Utilize shipping line systems to track shipment status throughout the transit process.
- Communicate updates to clients regarding shipment delays, changes, and arrival times.
- Collaborate with customs brokers to facilitate smooth customs clearance for import and export shipments.
- Address any customs issues or discrepancies that may arise.
- Respond to client inquiries regarding shipment status, costs, and documentation requirements.
- Build and maintain positive relationships with clients to ensure customer satisfaction.
- Negotiate freight rates with shipping lines to secure competitive pricing for clients
- Handle the full logistics process from start to finish (A-Z).
- Manage and process accounts receivable (A/R) and accounts payable (A/P)
using the in-house system.
- Other duties may be assigned by management due to business change or business need.
**SKILLS ESSENTIAL TO THE JOB**
**Technical**
- Windows Operating System
- Cargowise system.
- MS Office Applications (Outlook, Word, Excel and Access)
**Business**
- Minimum of three (1) years' experience in logistics/freight forwarding industry, preferred
- Thorough understanding of air shipment documentation process, a plus
- Possess excellent data entry skills and customer service skills with the ability to grasp extensive knowledge whole dealing with a variety of people
- Demonstrated critical thinking, using logic and reasoning to identify strengths, weaknesses, opportunities and risks, and identifying alternative solutions or approaches
- Proven ability to handle confidential information with discretion
- Ability to multi-task and work independently
- Time management skills

- Self-motivated, with an ability to self-manage
- Strong interpersonal/communication skills
- Team player
