The agency is seeking a reliable, detail-oriented, and compassionate Virtual Care Coordinator who can manage day-to-day communication and logistics, primarily in Spanish and English.About the Role:This role combines reception, coordination, and administrative support for a home care agency.
The Virtual Care Coordinator will act as a bridge between patients, caregivers (aides), and internal staff — managing schedules, reviewing payroll, assisting with benefits and timesheets, and supporting patient satisfaction.
The position requires excellent communication skills, cultural sensitivity, and experience in healthcare or home care coordination.Key ResponsibilitiesRespond to phone calls, emails, and messages from aides, patients, applicants, and insurersSupport aides with payroll, PTO, benefits, ADP registration, and HHA Exchange usageManage the daily attendance dashboard, identify missing timesheets,



and provide training or supportConduct welcome calls to new patients and assist with creating weekly schedulesReview and revise pre-billing and timesheets, coordinate with payroll to ensure accuracyFollow up on pending authorizations and liaise with insurance companiesStaff open cases and assist in finding suitable caregiversTranslate communications between English-speaking management and Spanish-speaking aides or patientsHandle applicant intake, assist with applications, and coordinate nurse visitsConduct monthly patient satisfaction callsManage annual administrative supervision and background check follow-ups for aidesRequired QualificationsFluent in both Spanish and English (written and spoken)Prior experience in home care, healthcare, or case coordination strongly preferredStrong customer service and phone communication skillsFamiliarity with HHA Exchange, ADP, and payroll/timesheet systems is a major plusAbility to multitask and manage a high volume of daily inquiriesMust be HIPAA-compliant and understand patient confidentiality standardsTech-savvy with strong organization and time management skills
