We are looking for a highly organized, ambitious, and proactive
Project Coordinator & Administrative Assistant
to help keep our team, client projects, and internal operations running smoothly.

This is not a role for someone who simply waits for instructions. We are looking for someone who notices what needs to be done, follows up without being asked, keeps projects moving, and takes pride in creating organization.

There is significant opportunity to grow within Nova for someone who demonstrates strong ownership, reliability, and leadership potential.

What You'll Be Responsible ForProject & Trello Management

• Review Trello boards daily to ensure tasks are progressing and deadlines are being met

• Create, assign, organize, and update Trello tasks





• Follow up with team members on overdue or upcoming deliverables

• Make sure tasks contain the information, files, links, and instructions needed for completion

• Help identify missing tasks, deadlines, or next steps before they become problems

• Maintain clean, organized, and accurate project boards

Client Onboarding & Organization

• Assist with onboarding new clients into Nova's systems and workflows

• Create and organize client folders, Trello boards, Slack channels, documents, etc

• Ensure onboarding requirements and deliverables are completed on time

Google Drive & File Management

• Maintain an organized Google Drive structure across clients and internal departments

• Create, restructure, and organize folders and files

• Upload and properly categorize documents and assets

Administrative & Financial Support

• Assist with email and administrative management
