I
**n the role of Executive Administration, you will:
P**
- **rovide premium executive administrative support t**o the Head of Automotive Sales and support the site lead for the Guadalajara, Mexico office. In addition to this role, you will work closely with the Integral Smart Power (SP) Business line, Systems, Research and Innovation (SRI), Customer Application Engineering (CAE) Community the Americas Automotive Executive Administration team, the Americas Digital Customer Interface (DCI) administration. M
- anage and proactively maintain outlook c**alendaring and travel schedules/timelines. C**:
- oordinate and manage complex domestic and international business travel including visa preparation when required and complete all expense reports in an accurate and timely manner. M
- repare p**resentations a**nd manage s**taff meeting agendas ,** priorities, and action items. L
- end comprehensive organizational skills to p**roject‐based activities e**nsuring progress to deadlines. A
- ssist with d**epartment budgetary t**asks such as filing expense reports, procurement card purchases/reconciliations, basic financial management, cost center forecasts/accruals, approvals, and processing of payments to third party vendors via SAP. C
- oordinate contracts with the purchasing and legal departments. C
- oordinate, manage and support internal and external (customer) meetings, off-site meetings and teambuilding events as well as collaborate with fellow Americas Executive administrative colleagues in planning and executing site-wide social activities to continuously improve employee engagement. Y
- ou will be responsible for overseeing and maintaining identified SharePoint sites. N
- on-administrative tasks may include research, analysis,
compilation and/or preparation of information in support of various executive and/or customer requirements. M
- anage and coordinate o**nsite support for customers a**nd support local travel for Global Infineon Executives. C
- ollaborate with your Automotive Administrative colleagues by actively participating as member of Americas Administrative Team, attending offsite meetings, participating in bi-monthly webinars, and joining other administrative group trainings, meetings and teambuilding activities as scheduled. L

- rovide a “premium” service level of work by being proactive, positive, using active listening, confirming expectations, taking ownership, managing time, following up on priorities, anticipating needs and going the extra mile to support your Executive. P
- repare and manage documents, packages and letters for mailing and shipments, C
- **onference room and office support service.** Check conference rooms to ensure that they are clean and organized; assist with special requests for conference room set ups. C
- ommunicate with third-party vendors for events (social, trainings).

**ou are best equipped for this job if you have the following profile B**
- achelor’s degree or equivalent combination of education and experience. 3
- **-5 or more years of executive administrative and team support experienc e**. O
- rganization, time-management, and problem-solving skills,
including the ability to adapt to a changing environment and handle multiple priorities in a fast-paced environment. P
- roficient in MS Office Suite (Outlook, Word, Excel, PowerPoint, WebEx) and adept knowledge in latest technology and social media/collaboration tools. Emphasis on proficiency in Outlook calendaring and Outlook inbox management. P
- roficient in domestic & international travel coordination is a must. E**xperience with Concur t**ravel booking tool (or similar on-line travel agency booking tool) and Concur expense reporting tool (or similar electronic expense reporting tool) is a must. M
- ust possess solid judgment and independent thinking underpinned by professional maturity and polished interpersonal and communication skills (both written and verbal). M
- ust exhibit high degree of time management, organization and problem-solving skills and possess the ability to manage changing priorities in very quick-paced environment. I
- mportant to be a disciplined self-starter with ability to operate with mínimal supervision; must be comfortable exercising independent judgment when completing assignments. D
- iscernment in dealing with highly confidential information is essential. M
- ust have flexibility with providing after hours support. M
- ust be a team player and have flexibility to support other groups/assistants as a backup L
- imited travel may be required to support offsite workshops, projects & events. Travel to USA may be required F
- **luency in the English l**anguage. Fluency in the German language a plus.
