**Position Overview**:
Detail-oriented and proactive Customer Service Representative that will be responsible for managing various administrative tasks related to our commercial accounts, ensuring smooth operations and exceptional service delivery.
**Key Responsibilities**:
- _**Telephone Communication**:_Answer telephones for new and current clients as well as insurance companies, providing assistance and information as needed.
- _**Change Requests (Endorsements)**:_Process change requests efficiently and accurately to maintain up-to-date policy information.
- _**Follow-up on Non-Pays**:_Monitor accounts for non-payment, initiate follow-up communications, and assist clients in resolving payment issues.
- _**Cancellations**:_Manage cancellation processes, including sending LPR (Late Payment Reminder) notifications to insured clients and the company.
- _**Certificates**:_Collaborate with the Account Manager to create and distribute certificates of insurance using established templates.
- _**Policy Checking and Sending**:_Review policies for accuracy and completeness, and facilitate the distribution of policies to clients.
- _**Inspections**:_Coordinate and schedule inspections as required,



ensuring compliance with policy terms and conditions.
- _**New Business Intake**_**:Assist with the new business intake process, ensuring all documentation is accurate and complete for onboarding.
- _**Interpreters**_: _Facilitate verbal communication between clients and staff by interpreting between Spanish and English, acting as a medium where language barriers exist.
- _**Mail Management**_: _Handle incoming and outgoing correspondence, ensuring timely delivery of important documents.
- _**Payroll Reports**:_Prepare and submit payroll reports related to commissions and account management.
- _**Client Education**:_ Provide clients with information regarding policy coverage, benefits, and claims processes to enhance their understanding and satisfaction.
- _**Problem Resolution**_: _Address client inquiries and concerns effectively, working to resolve issues promptly and maintain high levels of client satisfaction.
- _**Data Entry**:_Maintain accurate records of client interactions, transactions, and other relevant information in the company database.
- _**Client Interaction**:_Maintain a friendly, professional demeanor with prospective, active, and former clients, following established firm greeting and client communication procedures.
- _**Ethical Standards**:_Demonstrate the highest possible standard of ethical behavior and client confidentiality, both externally and internally, at all times.




- _**Meeting Participation**:_Participate in both recurring and ad-hoc meetings,managing related tasks accordingly.
- _**Appointment Management**:_Maintain appointments within Google Calendar per established department procedures, including scheduling, updating, and confirming appointments with clients a business day prior.
- _**CRM Documentation**:_ Keep thorough, updated notes on client meetings, communications, and overall relationship points within the CRM system.
**Qualifications**:
- Bachelor’s degree in business administration, Finance, or a related field preferred.
- Previous experience in insurance, customer service, or a related field is a plus.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Calendar.
- Familiarity with CRM systems is preferred.
- Attention to detail and a commitment to accuracy.
**Job Skills and Abilities**:
- Demonstrated ability to prioritize and re-prioritize tasks in an ever-changing, dynamic environment.
- Impeccable attention to detail and the ability to deal with complex accounting principles and client demands.
- Bi-lingual Spanish and English proficiency strongly preferred.
- Utmost level of professionalism regarding dress, communication, thoroughness, and the ability to handle sensitive information.
