- As the Executive Assistant, you will be responsible for assisting the Chief People Officer, Chief Financial Officer, and General Counsel in managing their schedules, coordinating business activities, and facilitating seamless communication across the organization. Your primary duties will revolve around calendar management, expense tracking, and assisting in presentation reviews. The role demands impeccable attention to detail, discretion, and the ability to thrive in a fast-paced, challenging environment.
- What You’ll Be Doing:
- Efficiently manage and maintain the calendars of the Chief People Officer, CFO, and General Counsel, ensuring all appointments, meetings, and events are scheduled appropriately, and potential conflicts are proactively addressed-
- Take ownership of tracking,
reviewing, and reconciling expenses for the executive team, adhering to company policies and guidelines-
- Assist in the preparation and review of presentations, reports, and other documents, ensuring accuracy, and professionalism-
- Arrange international and domestic travel itineraries, including flights, accommodations, transportation, and visa arrangements, as requiredCoordinate and schedule meetings, conferences, and other events involving the executive team, including logístical arrangements and follow-up actions-
- Organize and maintain critical files, records, and documents, ensuring they are easily accessible and up-to-date-
- Support the executives in ad-hoc projects and assignments, collaborating with other team members as necessary- What You Bring:
- Bachelor's degree in Business Administration, Management, or a related field is strongly preferred-
- Proven experience as an Executive Assistant or in a similar administrative support role, preferably in a multinational corporate environment-
- 4+ years of professional experience-
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools-
- Excellent verbal and written communication skills-
- Exceptional organizational and time management abilities,
with the capacity to prioritize tasks effectively-
- Strong attention to detail and the ability to handle confidential information with discretion-
- Ability to work independently and collaboratively in a team-oriented setting-
