**About the Role**:
We are looking for a highly capable and proactive Executive Assistant to provide strategic-level support to our leadership team. This is a full-time, in-office role based in Monterrey, Mexico. The schedule is Monday through Friday, 9:00 AM to 6:00 PM. This position is ideal for a resourceful professional who thrives in a fast-paced environment, anticipates needs before they arise, and brings structure, professionalism, and discretion to everything they do.
This is not a basic administrative role. We are looking for someone who can operate as a true extension of the executive team — managing priorities, enabling decisions, and keeping things moving with mínimal supervision.
**Position Overview**:
The Executive Assistant will serve as the right hand to senior leadership, ensuring the executive office runs smoothly and efficiently. This role requires an individual who can handle complex scheduling, communications, and special projects simultaneously, while maintaining the highest level of confidentiality and professionalism. The EA will be deeply embedded in day-to-day operations and must be comfortable navigating ambiguity, shifting priorities, and high-stakes situations with composure.

**Core Responsibilities**:
- Manage complex executive calendars, including scheduling meetings, coordinating across time zones, and resolving conflicts proactively.
- Coordinate and book travel arrangements, including flights, hotels, ground transportation, and detailed itineraries.
- Prepare meeting agendas, briefing documents, and follow-up action items to ensure leadership is always prepared.
- Take and distribute accurate meeting notes and track the status of key commitments and deliverables.
- Serve as a gatekeeper for executive time,



prioritizing requests based on urgency and strategic importance.
- Support the preparation of presentations, reports, and internal documents using Google Workspace and/or Microsoft Office Suite.
- Liaise with internal departments and external partners, clients, and vendors on behalf of leadership.
- Manage and track expense reports and reimbursements for the executive team.
- Lead or assist with special projects and strategic initiatives as assigned.
- Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
**Required Experience & Qualifications**:
- 3+ years of experience in an Executive Assistant or senior administrative role supporting C-level or senior leadership.
- 2+ years experience working directly with US-based clients or a US-headquartered company, with demonstrated ability to communicate and collaborate effectively across cultural and time zone differences.
- Excellent written and verbal communication skills in English (required); Spanish proficiency is a strong plus.
- Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and/or Microsoft Office Suite.
- Demonstrated ability to manage multiple priorities simultaneously without losing attention to detail.
- Experience coordinating travel logistics for executives, both domestic and international.




- Strong understanding of professional etiquette and how to interact with high-level internal and external stakeholders.
- Proven ability to operate independently, make sound judgments, and escalate appropriately when needed.
- Experience handling confidential information and maintaining discretion at all times.
This role requires real executive-level support experience. We will train on internal systems and tools, but not on the fundamentals of executive operations and professional communication.

**Work Schedule & Location**:
- Location: Monterrey, Reciente León, Mexico — 100% on-site.
- Schedule: Monday through Friday, 9:00 AM - 6:00 PM.
- Occasional flexibility may be required based on executive needs.
