About the Role

You'll become the main finance point of contact for both of our founders and fully own the day-to-day financial operations that keep our business running accurately.

This role is about making sure the numbers are right the first time, every time. You'll be closing our books, invoicing clients correctly, and running payroll without errors. If you have a knack for catching small mistakes before they become big problems, and want visibility into financial strategy at a company scaling revenue more than 100% YoY, this role is for you.

This role scales into someone who becomes a proper thought partner to our CEO and advises us on the strategy we need to go from a few million to tens of millions in revenue.

Key Responsibilities

1. Monthly Closing and Financial Reporting





- Own day-to-day bookkeeping in the accounting system (QuickBooks/Xero): categorize transactions, maintain the chart of accounts, and keep books accurate and current on a rolling basis, not just at month-end
- Run the monthly close on a fixed calendar (target: books closed by business day 5-7), including bank, credit card, and payment processor reconciliations
- Reconcile revenue: subscription billing records vs. cash collected vs. what's booked, including proration for mid-month starts, pauses, and churned clients
- Maintain accruals, prepaids, and deferred revenue schedules so monthly P&L; reflects vigente performance, not cash timing

Client Invoicing and AR

- Run the full monthly invoicing cycle: generate all client invoices, verify each against the current roster of active placements, rates, start/end dates, and any credits or adjustments
- Maintain a single source of truth linking clients, placed talent, and billing terms so invoices never drift from reality as placements change
- Target zero invoicing errors; own a pre-send review checklist and reconcile billed vs. expected revenue every cycle
- Manage accounts receivable: track payment status, send reminders, escalate past-due accounts, and report DSO and collections status weekly
- Handle client billing questions and disputes quickly and professionally, looping in account leads when needed

Payroll

- Run payroll on schedule with zero errors: correct amounts, correct dates, every cycle, for both US team members and offshore-based team/contractors
- Maintain payroll records: new hires, offboarding, rate changes, bonuses, and any client-specific pay arrangements
- Reconcile talent payments against client billings each cycle so per-placement margin is always visible

Secondary Responsibilities
1.



Financial Reporting and Analysis

- Produce the monthly financial package for the founders: P&L;, balance sheet, cash flow, plus core SaaS-style metrics (MRR, net revenue retention, gross margin per placement)
- Flag anomalies proactively: margin drift on accounts, expense creep, unusual variances vs. prior months

Requirements

Extreme attention to detail and a love for the nitty gritty of numbers — this is the single most important trait for this role. Candidates must be able to catch small errors under time pressure, not just present numbers well.

Solid bookkeeping fundamentals: comfortable with the mechanics of closing books, reconciling accounts, and managing invoicing/payroll cycles

Prior experience in a role such as Full Charge Bookkeeper, Staff Accountant, or Accounting Manager (not Controller-level — this is a hands-on, execution-focused role, not a strategic oversight one)

Comfortable doing accounting math and detail-checking live/in real time

FP&A; or budgeting/forecasting experience is a plus, but not required — accuracy and bookkeeping strength matter more
