We are seeking a highly organized and detail-oriented Customer Service Specialist to support daily business operations and administrative functions. The adecuado candidate is proactive, tech-savvy, and comfortable working in fast-paced environments while ensuring nothing falls through the cracks. Strong organizational skills and project awareness are essential for success in this role.

Key Responsibilities:
- Manage Admin Activities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and deadlines
- Coordinate meetings
- Handle voicemail management and respond or escalate messages as needed
- Assist in coordinating project activities and communications
- Assist with reporting and data tracking
- Guide members 1:1 through live, screen-shared Zoom calls using a custom GPT-based process built for each specific step of their journey — you don't need to be the subject matter expert, since the system holds that expertise; your job is to keep the member on track and moving forward.




- Provide accountability and concierge-level support rather than traditional coaching or teaching
- Tweak systems already created if need be (never creating from scratch)

Qualifications:
- Bachelor in Business Administration, or related field.
- 5+ years of experience in administrative, customer success, account management roles
- Naturally a "people person" — you get energized (not drained) by talking to a wide variety of personalities throughout the day.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Detail‑oriented, process‑driven
- Ability to work independently and handle sensitive information with confidentiality.
- Comfortable with tools (GHL, Zapier, Calendly, WhatsApp, Notion, Google Suite, Claude, Slack, Zoom, Project Management Tools)
- Use Ai Claude (already set up) to do their work easier and faster
- Prior experience in sales, sales enablement, or coaching/training environments is a plus
