We are seeking a highly organized, persuasive, and systems-driven Agenda
Coordinator
to manage daily caregiver coverage and proactive schedule optimization for a growing home care agency. This role goes beyond reactive gap-filling — it requires a professional who can operate inside a live EMR, anticipate scheduling conflicts before they occur, and communicate effectively with caregivers to drive visit completion. The adecuado candidate is persistent, detail-oriented, and thrives in a fast-paced, people-centered environment.

Key Responsibilities:

Daily Coverage Management
- Respond immediately when a caregiver calls off — reach out to available caregivers the same moment a gap is identified.
- Ensure every scheduled visit happens on the same day or is rescheduled promptly; visits are never simply dropped.
- Maintain real-time awareness of open shifts and act with urgency and professionalism to fill them.

Proactive Schedule Optimization
- Use available daily capacity (approximately 3–4 hours)



to look ahead at the upcoming schedule and plug gaps before they escalate into call-offs.
- Tighten the schedule against five key variables: caregiver availability, client and facility restrictions, caregiver qualifications and preferences, authorization requirements, and new client intake.
- Identify patterns and recurring scheduling risks and escalate recommendations to leadership.

Well Sky Personal Care Services Execution
- Operate inside WellSky Personal Care (EMR) on a daily basis for all scheduling functions.
- Use the platform for calendar-based scheduling, in-platform messaging, and caregiver call coordination.
- Keep all visit records, shift updates, and caregiver notes accurate and up to date within the system.

Caregiver Communication
- Conduct persuasive, logical, and professional conversations with caregivers to turn initial declines into confirmed coverage.
