Position Summary

The CRM & Marketing Automation Manager is responsible for managing HighLevel, optimizing the customer journey from lead to recurring customer, and ensuring every lead receives timely, professional, and personalized communication. This role oversees CRM operations, marketing automation, reporting, AI workflows, and customer retention initiatives while working closely with the Operations and Customer Service teams.

Key Responsibilities

CRM Management
- Manage and maintain HighLevel CRM.
- Organize pipelines and sales stages.
- Keep customer records accurate and up to date.
- Manage tags, opportunities, custom fields, and automations.
- Ensure seamless integration between HighLevel, ZenMaid, and other platforms.

Lead Management
- Monitor all incoming leads.
- Ensure every lead receives an immediate response.
- Track follow-up completion.
- Prevent leads from being lost.
- Assign leads to the appropriate team member when needed.
- Improve lead conversion rates.

Marketing Automation
- Build and optimize automated workflows.
- Create SMS and email campaigns.




- Design nurture sequences.
- Develop reactivation campaigns for inactive customers.
- Build review request automations.
- Create referral campaigns.
- Manage seasonal promotions.

AI Management
- Train and improve the AI assistant.
- Review AI conversations for quality.
- Update AI knowledge with company policies.
- Improve response accuracy.
- Escalate conversations requiring human intervention.

Customer Experience
- Improve response times.
- Monitor customer satisfaction.
- Create post-service follow-up campaigns.
- Develop customer retention initiatives.
- Increase Google review generation.

Reporting & Analytics

Prepare weekly and monthly reports including:
- Lead volume
- Conversion rate
- Cost per lead
- Booking rate
- Close rate
- Response time
- Missed opportunities
- Customer retention
- Customer lifetime value
- Marketing ROI

System Administration
- Maintain integrations with ZenMai
