Expense Coordinator (Remote)

We're looking for a detail-oriented Expense Coordinator to manage expense reimbursements for healthcare speaker programs. This role is responsible for reviewing, validating, documenting, and processing speaker expense claims while ensuring compliance with client policies and internal financial controls.

*This is a 6 month contract with the possibility of extension and renewal*

Key Responsibilities
- Review speaker reimbursement forms and supporting receipts for completeness and accuracy.
- Validate expenses against client reimbursement policies and spending guidelines.
- Identify duplicate or ineligible expense claims and resolve discrepancies.
- Communicate with speakers to obtain missing documentation or clarify submissions.
- Escalate compliance or policy issues when appropriate.
- Accurately enter expense data into internal systems and maintain organized digital records.
- Perform quality control checks to ensure reimbursement amounts match supporting documentation.




- Prepare approved expense claims for payment processing by the finance team.

Requirements
- 2+ years of experience in expense processing, accounts payable, finance administration, or a similar operational role.
- Exceptional attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Comfortable working with spreadsheets, databases, and financial systems.
- Excellent written communication skills, particularly when corresponding with external stakeholders.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Advanced English (written and spoken).

Nice to Have
- Experience supporting healthcare, pharmaceutical, or highly regulated industries.
- Familiarity with reimbursement, compliance, or financial control processes.
