We're looking for a highly organized and proactive Construction CRM & Project Coordinator. You'll be the backbone of our client relationships and project management, ensuring seamless communication and coordination from lead to project completion.
**Key Responsibilities**:
**1. CRM & Administrative Support**
- Manage and maintain our CRM system (HubSpot).
- Update and clean our contractor database regularly.
- Track and report on lead sources to help improve our marketing strategies.
- Coordinate schedules and ensure all appointments and project deadlines are tracked.
**2. Client & Lead Management**
- Serve as the primary point of contact for new leads, ensuring they're properly documented in our CRM and JobTread.
- Schedule and coordinate client visits.
- Prepare and send proposals to clients and follow up as needed to secure contracts.
**3. Project Coordination**
- Assist in setting up new projects and creating and maintaining project folders in Google Drive, ensuring all necessary documentation is organized and easily accessible.




- Help with the preparation and processing of contracts using tools like PandaDoc.
- Prepare and submit all necessary paperwork for online permits.
- Gather information for project estimates and scopes.
**Qualifications**
- Experience in a similar role with a strong understanding of project coordination, especially within the construction industry.
- Proficiency with CRM systems (HubSpot and ClickUp), project management software, and Google Workspace (Docs, Sheets, Drive, etc.).
- **Soft Skills**:
- **Exceptional attention to detail** and organizational skills.
- **Proactive and independent** work style, with the ability to manage time effectively and prioritize tasks.
- **Excellent English communication skills**, both written and verbal.
- Ability to follow established standard operating procedures (SOPs).
Pay: $122.00 - $126.00 per hour
Expected hours: 40 per week
