This role is expected to be the first operational point of coordination for facilities and general services matters, translating employee and business needs into clear actions, timelines, owners, and follow-up. The position requires close interaction with employees, internal stakeholders, building administration, contractors, maintenance providers, cleaning and security teams, pantry or cafeteria providers, couriers, and other workplace service partners.

Procurement is intentionally positioned as a secondary support responsibility. The associate supports procurement-related activities only where they enable facilities and general services delivery, such as supplier quotations, purchase request tracking, invoice follow-up, vendor documentation, and spend-control support for workplace-related categories.

Key Responsibilities

1.

Facilities

Operations and Workplace Readiness

Coordinate preventive and corrective maintenance for office areas, meeting rooms, workstations, common spaces, furniture, lighting, HVAC, plumbing, electrical matters, and other workplace infrastructure needs.

Monitor the condition of office spaces to help ensure they remain clean, functional, safe, orderly, properly equipped, and ready to support daily operations.

Receive, register, prioritize, and follow up on employee requests related to workspace needs, repairs, furniture, meeting rooms, seating adjustments, office equipment, and general workplace conditions.

Coordinate with building administration, contractors, and maintenance providers to support service continuity, workplace safety, operational readiness, and timely issue resolution.

Escalate incidents, urgent maintenance needs, safety concerns, recurring service issues, or operational interruptions with clear context, impact, status, and proposed next steps.

2.

General Services

Administration

Manage office supplies, stationery, pantry items, cafeteria consumables, first-aid kits, cleaning supplies, courier needs, and other workplace resources with appropriate control and replenishment follow-up.

Maintain organized records of service requests, maintenance activities, supplier visits, consumable usage, stock levels, access requests, invoices, purchase requests, and pending follow-up actions.

Support internal meetings, office events, employee logistics, workspace rearrangements, visitor coordination, reception needs, and physical-resource requirements for day-to-day operations.

Coordinate badge, visitor, access control, courier, reception, and general office support activities based on local office requirements.

Support compliance with internal workplace procedures, local protocols, civil protection requirements, safety practices, and operational documentation standards.

3.

Service

Provider, Contractor, and Building Coordination

Coordinate cleaning, security, technical maintenance, building maintenance, contractors, couriers, pantry, cafeteria, reception, and other workplace-related providers.

Receive and accompany external providers performing services at KTSA facilities, confirming that the work is completed according to the request and operational expectations.

Track provider commitments, due dates, service tickets, pending items, recurring issues, and service-quality gaps until closure or escalation.

Document provider performance observations, recurring service issues, operational risks, and improvement opportunities for management visibility.





Identify practical improvements in response times, vendor coordination, maintenance recurrence, supplies management, employee service experience, and issue-prevention mechanisms.

4.

Operational Project

Support for Facilities and General Services

Support workplace projects such as office moves, seating changes, service transitions, internal events, maintenance initiatives, supplier onboarding, process improvements, and employee-experience initiatives.

Prepare and maintain action trackers, work plans, due dates, owners, dependencies, status updates, risk logs, and escalation points for assigned operational initiatives.

Coordinate stakeholders and follow-up activities to ensure facilities and general services deliverables are completed on time, with appropriate quality and visibility.

Support documentation and knowledge transfer after operational changes to promote continuity, avoid duplicate work, and reduce recurring issues.

5.

Secondary Procurement

Support for Workplace Categories

Support purchase requests, supplier quotations, proposal comparisons, approval follow-up, invoice tracking, and documentation for Facilities, Travel, General Services, supplies, maintenance, and other workplace-related indirect categories.

Assist in gathering supplier information, organizing commercial documentation, maintaining vendor records, and supporting basic spend-control follow-up.

Partner with Procurement and Finance to follow up on purchase orders, supplier payments, vendor documentation, and supporting information required for workplace-service delivery.

Contribute to responsible resource use and cost control while ensuring that service quality, safety, and workplace continuity remain the primary priority.

- Uses trackers or action logs to monitor employee requests, maintenance items, supplies, provider commitments, invoices, purchase requests, and operational projects.
- Provides clear status updates and escalates blockers before deadlines, service quality, or workplace continuity are impacted.




- Coordinates office moves, maintenance work, internal events, service transitions, and workplace improvements with clear timelines and owners.
- Documents actions, decisions, pending items, and completed deliverables to maintain operational continuity.

Required Qualifications

Bachelor’s degree completed or in progress in Business Administration, Hospitality, Industrial Engineering, Facility Management, Operations, or related fields.

1 to 3 years of experience in facilities, general services, office administration, hospitality, workplace operations, or similar service-oriented roles.

Experience coordinating employee requests, contractors, service providers, office supplies, maintenance activities, logistics, records, or administrative controls.

Working knowledge of Microsoft Office tools, especially Outlook, Excel, Word, and basic trackers or dashboards.

Basic understanding of workplace safety, civil protection, access control, building administration, or general maintenance is desirable.

Spanish fluency required; intermediate English is highly desirable due to KTSA’s international environment.
