Position IT Advanced Specialist

The Print and Digital Asset Management Specialist is responsible for the administration, financial management, and operational oversight of the organizations printer fleet and digital asset procurement processes. This role manages printer invoicing, analyzes device utilization and costs, coordinates maintenance and repair activities, oversees device lifecycle management, and processes the purchase and tracking of digital assets. The ideal candidate combines strong analytical, organizational, and vendor management skills with the ability to support operational efficiency and cost optimization initiatives.

Profile
Bachelors degree in business administration, Information Technology, Finance, or related field preferred or equivalent experience.
At least 2 to 4 years of relevant experience.
Excellent written and verbal communication skills and strong oral presentation skills English and Spanish

Responsibilities

Printer Fleet Financial Management
Review, validate, and process printer and managed print service invoices for accuracy and contract compliance.
Reconcile billing discrepancies with vendors and internal departments.
Maintain detailed records of printrelated expenses, leases, service agreements, and consumables.
Assist with budgeting, forecasting, and cost allocation for print services.

Utilization and Reporting Analysis
Monitor printer fleet utilization, print volumes, and device performance metrics.
Analyze usage trends and provide recommendations for optimization, consolidation, or replacement of devices.
Generate regular operational and financial reports for management.
Track key performance indicators KPIs related to print efficiency, uptime, and service levels.

Device Lifecycle Management
Coordinate procurement, deployment, relocation, refresh, and retirement of printers and multifunction devices.
Maintain accurate inventory records including asset tags,



serial numbers, lease terms, and warranty information.
Ensure devices are managed according to organizational standards and lifecycle policies.
Support asset disposition activities including secure disposal and documentation.

Repair and Vendor Coordination
Serve as the primary point of contact for printer maintenance and repair requests.
Coordinate service calls with vendors and track issue resolution through completion.
Escalate recurring or unresolved service issues as needed.
Monitor vendor performance and service level agreement SLA compliance.

Digital Asset Procurement and Administration
Process purchase requests and orders for digital and technology related assets including software licenses, subscriptions, and computer technology related hardware.
Track renewals, licensing usage, and contract expiration dates.
Coordinate with procurement, finance, and IT teams to ensure proper approval workflows and compliance.
Maintain accurate records of asset ownership and allocation.

Process Improvement and Compliance
Identify opportunities to improve operational efficiency and reduce costs across print and digital asset environments.
Develop and maintain documentation for workflows, procedures, and inventory controls.
Ensure compliance with company procurement policies, security standards, and audit requirements.
Conduct periodic inventory audits and reconcile physical assets against system records.

Knowledge required

IT Financial Management Strong ability to review, validate, and process complex technology, leasing, and print service invoices, ensuring contract compliance and proactively resolving billing discrepancies with vendors.

Hardware Lifecycle Management Direct experience coordinating the procurement, deployment, technology refresh, relocation,



and secure disposal of computer equipment according to corporate standards.

Vendor Management and SLA Monitoring Experience acting as the primary point of contact for technology vendors, tracking service calls, escalating recurring issues, and monitoring Service Level Agreement SLA compliance.

Lease and Contract Administration Solid knowledge of lease management, contract administration, and tracking asset ownership and expiration dates.

Software Licensing and Subscriptions Clear understanding of software licensing model tracking, subscription management, and renewals.

System and Platform Familiarity

IT Asset Management ITAM Handson experience with IT asset management ITAM or enterprise asset management systems.
Managed Print Services MPS Direct experience working with Managed Print Services MPS providers and handling fleet utilization or billing.
ERP and Procurement Platforms Familiarity with enterprise ERP or corporate procurement platforms, specifically ServiceNow and Oracle.
